Bookkeeper / Accounting Specialist  

We are seeking a detail-oriented Bookkeeper / Accounting Specialist to manage daily accounting operations, payroll processing, accounts receivable activities, bank and credit card reconciliations, and financial reporting. The ideal candidate will have experience with QuickBooks, payroll administration, transaction management, and maintaining accurate financial records in a fast-paced business environment.

This role is responsible for supporting the organization's accounting functions, ensuring timely payments, accurate recordkeeping, payroll processing, and compliance reporting.

Key Responsibilities Daily Responsibilities
  • Review and enter employee timesheets.
  • Monitor and review bank balances and banking transactions.
  • Manage banking activities through Pinnacle banking platform.
  • Enter and record bank transactions in QuickBooks.
  • Process vendor, supplier, and other required payments.
  • Prepare and issue customer invoices as needed.
  • Record deposits in QuickBooks.
  • Record and reconcile credit card transactions.
Weekly Responsibilities
  • Submit payroll by end of day Tuesday.
  • Prepare and post recurring payroll journal entries in QuickBooks for the previous week.
  • Submit 401(k) contributions
  • Prepare and distribute weekly financial reports, including:
    • Bank Report
    • Schedule of Non-Payroll Payments
    • Accounts Receivable Report
Monthly Responsibilities
  • Complete bank reconciliations.
  • Complete credit card reconciliations.
Quarterly Responsibilities
  • Process tax estimate payments as required.
Semi-Annual Responsibilities
  • Prepare and submit sales tax reporting information
Annual Responsibilities
  • Prepare and process Accounts Payable 1099 forms.
  • Complete and provide 401(k) Census Report and 5500c Report to Pension Innovations & Consulting (due in February or July as directed).
  • Prepare and submit V+A Risk Workers' Compensation Report (due annually in September).
Required Qualifications
  • Experience in bookkeeping, accounting, payroll administration, or a related financial role.
  • Experience using QuickBooks.
  • Strong understanding of bank reconciliation and credit card reconciliation processes.
  • Knowledge of accounts receivable, invoicing, payment processing, and financial recordkeeping.
  • High level of accuracy, organization, and attention to detail.
  • Ability to manage recurring deadlines and multiple priorities.
  • Proficiency in Microsoft Office, including Excel.
  • Strong written and verbal communication skills.
Preferred Skills
  • Payroll processing experience.
  • Experience with 401(k) administration and reporting.
  • Knowledge of sales tax reporting and compliance.
  • Experience preparing 1099 reporting.
  • Banking and treasury management experience.
