Administrative Assistant - Events & Rentals 

Bethel Baptist Church | Schaumburg, Illinois 

Part-Time | 25-30 Hours per Week 

Bethel Baptist Church is seeking an organized, dependable, and ministry-minded Rental & Events Coordinator to join our church staff. 


This part-time position plays a key role in coordinating facility rentals, church-wide events, ministry logistics, calendars, volunteers, and church communication systems. The Rental & Events Coordinator serves as a central point of organization and communication between pastors, ministry leaders, staff, volunteers, and outside groups to ensure that events and building usage are planned well, communicated clearly, and carried out smoothly. 


We are looking for someone who enjoys working with people, thrives on organization and planning, anticipates needs before they become problems, and desires to use his or her administrative gifts to serve the ministry of the local church. 


Reports to: Associate Pastor of Ministry Operations / Lead Pastor 

Status: Part-Time, 25-30 hours per week 

Anticipated Start Date: September 8, 2026 

Compensation: Commensurate with experience

What We're Looking For

Strong comfort with technology, databases, scheduling platforms, and digital communication tools. 

The ability and willingness to learn, manage, and troubleshoot church management software such as MyBBC

The ability to work independently while also functioning effectively as part of a ministry team. 

Previous experience in church administration, event coordination, facilities management, volunteer coordination, or ministry operations is preferred.

Work Schedule 

This is a part-time position averaging approximately 25-30 hours per week

The normal schedule will consist primarily of weekday daytime office hours, with flexibility required based on church and ministry needs. Because many church activities occur outside normal office hours, occasional evening and weekend availability will be required for major events, special ministries, and facility needs. 


Physical Requirements 

This position requires the ability to move throughout the church facilities, perform basic visual inspections, and occasionally lift or move light equipment as needed.

Requirements

 Primary Responsibilities 

Responsibilities include: 

Serve as the primary point of contact for facility rentals and building-use requests. 

Schedule and coordinate rentals, contracts, documentation, invoices, deposits, and building access. 

Maintain the church's master building and event calendar and proactively identify scheduling conflicts. 

Coordinate with maintenance, ministry leaders, staff, and volunteers regarding event setup, teardown, facility needs, and timelines. 

Personally plan and lead selected church-wide events and provide significant coordination and support for other major church events throughout the year. Recruit, organize, and communicate with volunteers for church events and selected ministries. 

Provide administrative and logistical support to Kids Ministry, Awana, and Teen Ministry. 

Assist with weekly church announcements and event communication.

Ensure church events are properly promoted through slides, written summaries, the church app, lobby and auditorium displays, and livestream platforms. Enter and maintain church events, registrations, forms, and ministry information in MyBBC

Serve as a primary resource for MyBBC usage, training, and troubleshooting. Help staff and ministry leaders effectively use church-management and scheduling systems. 

Maintain regular communication with pastors and ministry leaders regarding upcoming activities, needs, and scheduling. 

Evaluate events and processes and recommend improvements for future ministry effectiveness. 

Help steward Bethel's facilities, resources, and ministry systems with excellence and hospitality.
