Overview

ABOUT THE POSITION

VHB's Winooski, Vermont office has an immediate opening for an enthusiastic, highly organized, detail-oriented employee to join our administrative services team. The position provides support to our office with a wide range of tasks from day to day.  The ideal candidate should possess a "can-do" attitude, excellent verbal and written communication skills, and an ability to work independently as well as with a team in a dynamic, fast paced deadline-oriented consulting firm. Candidates should be proactive with an ability to prioritize tasks and anticipate needs. Position includes opportunities for personal and professional development and growth in joining VHB's fastest growing office on the east coast.

This position is required to be in office weekdays, ideally from 9AM - 2PM EST. 

Responsibilities

  • Greets visitors and makes a positive first impression of VHB. Informs employees of the visitor's arrival. Assists and directs visitors to appropriate meeting location.
  • Schedules meetings and events for a team, department, or office.
  • Plans, orders, and assists with food for meetings.
  • Processes and distributes mail. Prepares packages for pickup and delivery.
  • Maintains office supply inventory.
  • Answers and transfers phone calls. Relays messages as needed.
  • Assists with building management and facilities tasks, which may include organizing and cleaning office space, managing kitchen and breakroom inventory, and coordinating vendor payments.
  • Performs other administrative duties as assigned.
  • Assists with new employee preparation.
  • Performs administrative duties (e.g., data entry, filing, photocopying).
  • Assists with fleet management.
  • Participates in professional and personal development aligned with career goals.
  • Performs all job functions in compliance with applicable federal, state, and local regulations and VHB policies and procedures.

Qualifications

  • 2-5 years of office administration experience
  • High school diploma or GED

The hourly pay range for this position, located in Vermont, is $20.00 to $25.00. The actual hourly rate offered will be determined based on job-related factors, including geographic location, internal equity, experience, credentials, skills, education, work schedule, and other factors permitted by law. The posted hourly range reflects base pay only. Additional compensation and benefits available to eligible employees are outlined in our Total Rewards Program.  

Annual base salary is one component of VHB's Total Rewards package. In addition to base pay, eligible employees may receive annual incentive compensation bonuses, spot bonuses, and merit-based salary increases, providing opportunities to increase earnings beyond base pay.
