POSITION SUMMARY
This job may involve data entry, scanning files, copying records and sending faxes. This position will be a direct support to achieving accuracy and compliance with required form submissions. This will help alleviate the administrative work load of employees, enabling them to dedicate more time to the families in their caseloads.
Hiring Hourly Pay: $16.8022
DUTIES AND RESPONSIBILITIES
Duties and Responsibilities:
  • Accurately and timely complete data entry to include, but not limited to, 5026, 5027's, 5104's, and 5094's.
  • Complete VCAP (civil), AOC (criminal), Central Registry, CW Assist, and 911 record checks.
  • Request medical, educational or case records from other states, counties and agencies.
  • Scan documents into cases. Copy files that have been requested for review.
  • Fax information to other agencies as needed.
  • Assign individual SIS numbers to clients and add them to days sheets.
  • Make referrals to outside agencies.
  • Enter data into an excel spreadsheet for policy monitoring purposes.
  • Prepare training materials.
  • Notarize documents.
  • Any other duties as assigned by supervisor, program manager or agency directors.
  • Management of Adoption assistance and Medicaid adoption assistance records.
  • Preparing files for auditing SSBG, IV-E.
  • Complete 2nd party review for keying errors on 5027 and 5094.
  • Complete address changes as needed.
  • Process lost adoption assistance check for replacement.
  • Balance and budget vendor payments for children receiving adoption assistance.
  • Initiate confidential intermediary services.
  • Process ICAMA for incoming and outgoing children.
  • Mediate and negotiate vendor payments for services to families.
  • Collaborate with the attorney to insure they are paid.
  • Collaborate with the state auditor for non-recurring cost payments.
  • Assist vendors with ACH system
  • Send yearly Recertification letters.
  • Point of contact for families when anything is needed after the finalization of the adoption.
  • Initiate Post adoption Services- make referrals when needed.
  • Initiate confidential Intermediary.
  • Close records when clients age out.

MINIMUM QUALIFICATIONS
Minimum Qualifications
Knowledge, Skills and Abilities:
Computer competencies in Microsoft Word, Publisher and Excel
Proficient typing skills to streamline accuracy and timeliness
Communication skills
Organizational and time management skills
Ability to learn NC data entry systems ( Day sheets, Central Registry, SIS), and state online data bases ( to include but not limited to ROD, VCAP, AOC, DOC )
Education/Certification:
High School Diploma or GED
Certification in computer programs
Notary Public preferred but not required

Work Environment/Location/Physical Demands:
Harnett County Department of Social Services in Lillington
Desk duties primarily
When scanning and copying, standing will be required
Occasionally accompany a social worker out of the office to notarize documents
Occasionally deliver files to Harnett County Court or other county courthouses
Temporary or Part-Time Employees are not eligible to receive benefits .
