Sharetec is looking for a part time Receptionist to join our team!

As a Receptionist, you will serve as the first point of contact for all visitors, callers, and incoming communications, playing a critical role in shaping a professional and welcoming first impression of the organization. You will be responsible for delivering exceptional customer service, efficiently managing inbound communications, and ensuring all customer interactions are accurately documented and routed within Salesforce, while also providing administrative support to ensure smooth daily office operations.
This is a non-exempt, hybrid position (following training) based in Fort Wayne, Indiana. This is a part-time position (20 hours/week). The salary for this role is $16.00 to $16.50/hour + bonus.
As a Receptionist, your responsibilities will include:
Customer Engagement & Front Desk Operations
  • Serve as the primary point of contact for incoming phone calls and front desk inquiries.
  • Provide accurate information, route calls appropriately, and ensure timely follow-up where needed.
  • Represent the organization with professionalism, courtesy, and a strong customer service mindset in every interaction.

Case Logging & Communication Management
  • Document all customer interactions (calls, emails, and in-person inquiries) accurately and promptly within Salesforce.
  • Ensure all customer concerns are logged and routed to the appropriate departmental queues in alignment with established procedures.
  • Maintain high data integrity and consistency in all case documentation to support effective resolution and reporting.

Administrative Support & Office Coordination
  • Manage incoming and outgoing correspondence, including mail, email, and fax communications.
  • Perform general administrative tasks including data entry, filing, photocopying, and office supply maintenance.
  • Support internal teams with scheduling, coordination, and ad hoc administrative needs as requested.

Information & Visitor Support
  • Serve as a knowledgeable and helpful resource for visitors and callers regarding general organizational information, services, and location details.
  • Assist with special requests such as transportation coordination, reservations, and general visitor or staff support needs.

You should have:
  • Proven experience as a Receptionist, Front Office Representative, or similar customer-facing role utilizing a multi-line phone system.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and a CRM; Salesforce experience preferred.
  • Hands-on experience with standard office equipment (fax, printers, scanners).
  • Strong interpersonal, written, and verbal communication skills.
  • Excellent organizational skills with the ability to multitask, prioritize, and follow documented processes consistently.
  • A resourceful, proactive approach to problem-solving and a genuine commitment to delivering high-quality customer experiences.
  • High school diploma or equivalent.
