Proposal Coordinator (Parts)

We are looking for a Proposal Coordinator (Parts) for our Peterborough, Ontario site.  BWXT NEC's Fuel Handling and Engineered Solutions group is involved in the design, manufacture, development, testing, parts supply, and service of on-power refueling, reactor maintenance, and nuclear medicine delivery tooling sold around the world. We are the original designer of the automated systems that allow 24/7 on power refueling of CANDU reactors and aim to solve some of the Nuclear Industryโ€™s most challenging problems. Role Summary:

At BWXT, you will work on technically challenging proposals as a supporting member of the Customer Solutions/Commercial team. Our company supports on-power refueling systems for CANDU reactors and also responds to a range of challenging engineering and supply requests. You will be at the forefront of our customer response. You will help to define the design, development and testing stages of multi-disciplinary projects related to automated and semi-automated fueling machines, robotic systems, and maintenance tooling for CANDU reactors and other related systems. This opportunity will test your ability to cut through ambiguity, to generate technically sound, customized and accurate proposals as part of a multi-disciplinary team. Connecting customers to the best BWXT solution will be your mandate and, as such, building and maintaining internal and external customer relationships are a key part of this role. The proposal coordinator owns the proposal process from customer RFP to order receipt and evaluation and is accountable to produce high quality proposals. 

The proposal coordinator will prepare proposal packages including the supporting pricing activities, Pricing Approval Request (PAR), risk registers as well as customer facing commercial documents. This role is accountable to provide commercial support for proposals and contract management activities. Working primarily with the Engineering and Manufacturing team, they will ensure adherence to company processes, templates and standards, as well as corporate governance requirements.

Your Day to Day: 

Proposals/Documentation

  •  
  • Prepare proposals for small to medium sized/difficulty bids in accordance with company policies and procedures
  • Direct functional areas and operating groups in preparing the various sections and inputs to the proposal
  • Develop proposal strategy in support of the sales strategy
  • Direct functional areas in preparing the various sections and inputs to the proposal document
  • Support management and account managers in contract negotiations with customers
  • Chair Pricing Approval Request (PAR) meetings to obtain necessary approvals for bids
  • Participate in project kickoff meetings to pass on all relevant documentation to the project team

Commercial Support and Risk Management:

  •  
  • Coordinate and/or Prepare complete and accurate cost estimates
  • Direct functional resources to coordinate completion of various proposal sections and inputs to the estimate
  • Ensure timely and accurate estimates, contingencies, cash flows,etc.
  • Develop and manage internal risk management plans in accordance with company policies and procedures
  • Escalate T&C issues to Business Line Managers and Legal to evaluate and propose T&C positioning that balances competiveness and risk
  • Assist the project management personnel with commercial claims

Business Development:

  •  
  • Take lead, when assigned, in developing and implementing continuous improvement initiatives.
  • Compile monthly and quarterly metrics and sales forecasting reports

Contract Management:

  •  
  • Screening and evaluation incoming Purchase Orders (PO) for accuracy
  • Facilitate DOA approval for PO acceptance
  • Process manufactured parts Concession Applications between internal and external stakeholders
  • Assist the operations personnel with commercial claims and contract changes
  • Maintain the project status and forecast information on the BWXT business system (JD Edwards) for the life of each project

Required Qualifications:

  • Bachelor's degree in Business, Engineering or other technical area, along with 1-5 years of related experience
  • Technically minded individual with previous exposure to Engineering project work.
  • Exposure to a broad range of interdisciplinary departments: mechanical, I&C, software design and manufacturing
  • Experience with high quantity component machining / machine shop is considered an asset
  • Excellent written, oral and illustrative communication skills
  • Demonstrated leadership skills and the ability to work in a team
  • Demonstrated experience constructing proposals using Classification drivers
  • Experience in Primavera P6 software is an asset
  • Ability to work under pressure and within tight schedules
  • Conveys a diplomatic/professional demeanor at all times and has a strong customer-centric focus
  • Self-motivated and able to work independently but comfortable working in a team environment
  • Strong word processing and spreadsheet development skills. Proficiency with Microsoft Word, Excel and PowerPoint is essential

Subject to these considerations, the total compensation package for this position may also include other elements, such as an annual cash incentive in addition to a full range of medical, retirement, and/or other benefits.
