Job description

St. Leo the Great Church, located in Little Italy (Baltimore), seeks candidates for a Parish Office Coordinator. The Parish Office Coordinator provides administrative, communications, financial, and organizational support for the daily operations of the parish. As a central point of contact for parishioners, visitors, staff, ministries, and community members, the Office Coordinator helps ensure that the parish office is welcoming, responsive, organized, and effective. This position coordinates parish-wide communications, maintains parish records and databases, provides bookkeeping and administrative support, assists with parish events and activities, and supports the Pastor, Director of Operations, staff, and ministry leaders. The successful candidate will be highly organized, service-oriented, comfortable managing multiple priorities, and able to communicate professionally and compassionately with a diverse parish community.
Essential Functions
Administrative:
  • Provide general office support, including answering phones, receiving and distributing mail, and maintaining office equipment.
  • Maintain sacramental records, parish databases, mailing lists, and other parish records.
  • Coordinate the parish calendar and schedule appointments, meetings, sacraments, and parish events.
  • Work with ministry platform software and electronic parish databases.
  • Coordinate with the parish IT provider and website management company to ensure technology systems function effectively.
  • Prepare parish reports, mailing lists, statistical information, and parish data as needed.
  • Welcome parishioners and visitors with warmth, professionalism, and hospitality, and prepare welcome packets for new parishioners.

Financial:
  • Perform routine bookkeeping and financial administrative functions in accordance with parish and Archdiocesan policies and procedures.
  • Enter and maintain financial information in QuickBooks Online and other parish financial systems as assigned.
  • Process invoices, payments, reimbursements, reconcile financial statements, and other accounts payable documentation.
  • Maintain organized financial records, receipts, invoices, and supporting documentation.
  • Assist the collection counting team by obtaining collection bags from the bank, preparing collection materials, and supporting the collection process as needed.

Communications:
  • Prepare parish announcements and other communications as requested.
  • Prepare and assist with parish communications, including the weekly e-newsletter, parish website, social media platforms, parish-wide emails, and other announcements as needed.
  • Maintain parish communications calendar.

Pastoral:
  • Collaborate closely with the Director of Parish Operations, clergy, staff, and volunteers to ensure the smooth and efficient operation of parish ministries and events.
  • Assist the pastoral team with parish evangelization initiatives, hospitality, and other pastoral programs.
  • Assists pastor in preparing for the celebration of the liturgy and preparing for church
  • Perform other administrative duties as assigned by the Pastor or Director of Parish Operations.

Position Qualifications
  • Excellent organizational, communication, and interpersonal skills.
  • Strong computer proficiency, including Microsoft Office Suite, Canva, email marketing platforms, parish database software, and other publishing or communication platforms.
  • Ability to maintain strict confidentiality and exercise sound judgment.
  • Ability to prioritize multiple responsibilities, work independently, and meet deadlines in a fast-paced environment.
  • Experience in office administration, customer service, communications, or a related field.
  • Strong attention to detail and a commitment to accuracy.
  • A collaborative spirit with the ability to work effectively as part of a team.
  • A willingness to support and advance the mission of the Catholic Church through professional, respectful, and faith-filled service.
  • Maintain confidential personnel and parish records with discretion and professionalism.

Range: $38, 000 - $42, 000, Annualized
