Job Shift / Added Responsibilities
Administrative Assistant – Sales Support*
 
Responsibilities including but not limited to:
  • #2 to answer phones.
  • Back up for Reception duties.
  • Daily - Process installed jobs from previous day (scan paperwork and enter payment information into QB and CBD Manager).
  • Produce folders for all new sales while checking paperwork for errors or missing information and make copies for Production.  Assist designers with paperwork when needed.
  • Update CBD Manager and QB with correct sales and payment information.
  • Run all credit card payments.
  • Designer Training Week:
     
    • Order meals for lunch
  •  
    • Prepare all paperwork and materials
  •  
    • Review paperwork details with new Designers if needed
  •  
  • Call customers with declined credit cards for alternate payment.
  • Scan all files.
  • General Filing when needed.
  • Hours:  Monday through Friday - 9 am to 6 pm, and every third Saturday – 9 am to 2 pm.   (Hours are subject to change based on sales volume)
  • Daily lunch break will be taken from 1-2 pm.
  • All daily work is to be completed (all baskets should be empty) by the end of the day:
     
    • Run and enter payments into CBD Manager for new contracts and installs for the day.  All new contracts that come in are to be given to Price Checking by end of day.
  •  
    • Process/finalize previous day’s installs in CBD Manager
  •  
    • All installed file folders from previous day are to be given to Office Manager by end of day.
  •  
    • File all folders.
