JOB PURPOSE:

Reporting to the Director, Physician Services, the Medical Panel Supervisor is responsible for the development, and ongoing coordination, administration, and operational management of a designated panel of physicians and nurse practitioners (NP) to perform independent reviews of medical files. This role is responsible for overseeing a small team that will manage the full physician/NP lifecycle, including recruitment support, onboarding, panel management, physician/NP engagement, contract administration, billing coordination, and offboarding.  The Medical Panel Supervisor is responsible only for the coordination of the physician/NP panel, and is not responsible for the management of the Medical Review process itself.  

Acting as the primary operational contact for participating physicians/NPs, the Medical Panel Supervisor works collaboratively with the Supervisor, MRP Review Team, as well as Physician Services, Operations, Finance, and clinical leadership to ensure physicians/NPs are successfully integrated into the program and receive ongoing administrative support throughout their tenure. 

The successful candidate will proactively manage physician/NP panel capacity (based on demand), maintain accurate physician/NP records, coordinate agreements and invoicing, support physician/NP recruitment initiatives, monitor operational readiness, and identify opportunities to improve physician/NP experience and program performance. This position plays a key role in ensuring the long-term success, sustainability, and growth of the Medical Review program.  

PRINCIPAL RESPONSIBILITIES:

Physician/NP Recruitment & Program Growth 

  • Support recruitment activities to build and expand the physician/NP panel, as per the required qualifications as set out by the Medical Review team. 

  • Coordinate interviews and candidate communications. 

  • Assist with workforce planning and succession planning. 

  • Secure contracts with physicians and NPs, including all verification of required licensing and certification. 

Physician/NP Onboarding & Coordination 

  • Coordinate all onboarding activities for physicians/NPs entering the program. 

  • Manage status of individualized onboarding plans and timelines. 

  • Serve as the primary point of contact for physicians/NPs throughout the onboarding process. 

  • Schedule orientation sessions, program introductions, and required meetings. 

  • Coordinate physician/NP training on program platforms, clinical workflows, policies, and operational processes. 

  • Monitor onboarding milestones and proactively identify and resolve delays. 

Physician/NP Panel Management 

  • Maintain the active physician/NP panel. 

  • Manage physician/NP schedules and program participation. 

  • Monitor physician/NP status (Active, dormant, departing, and departed physicians/NPs). 

  • Monitor physician/NP capacity and measure it against program demand. 

  • Maintain records of provider profiles and credentials.  

Contract & Financial Administration 

  • Coordinate execution and maintenance of physician/NP agreements.  

  • Coordinate invoicing for services rendered. 

  • Liaise with Finance Accounts Payable regarding payment.  

Physician/NP Relations 

  • Act as the first point of contact for physicians/NPs enrolled in the program. 

  • Resolve physician/NP-related operational issues. 

  • Coordinate with Operations, IT, EMR, Credentialing, and Billing. 

  • Support physician/NP engagement and retention. 

Program Administration and Process Improvement 

  • Maintain dashboards and produce reports as needed. 

  • Track onboarding metrics and identify opportunities to improve onboarding efficiency and physician/NP experience. 

  • Support ongoing process improvement initiatives to enhance program efficiency, consistency, and physician/NP experience. 

KNOWLEDGE, SKILLS AND EXPERIENCE:
  • Excellent interpersonal and relationship-building abilities. 

  • Exceptional written and verbal communication skills. 

  • Ability to manage multiple priorities while maintaining attention to detail. 

  • Strong problem-solving and critical thinking skills. 

  • High level of professionalism, discretion, and confidentiality. 

  • Proficiency with Microsoft Office 365 (Outlook, Excel, Word, Teams, PowerPoint). 

  • Experience with EMRs, physician/NP scheduling systems, or healthcare information systems is considered an asset but not required. 

  • Strong organizational and project coordination skills. 

EDUCATION / EXPERIENCE 

  • Minimum 3–5 years of experience in project coordination, executive administration, healthcare operations, recruitment coordination, or a related role. 

  • Medical Sales / Physician Management experience is an asset
