Mailroom Associate
Position Summary
ย The Mailroom Associate is responsible for receiving, processing, organizing, and distributing mail and packages for students, faculty, and staff in a fast-paced, high-volume mailroom environment. This role requires strong customer service skills, attention to detail, and the ability to efficiently manage package tracking and distribution using Quadient WTS software.
Key Responsibilities
- Utilize Quadient WTS, a web-based package management system, to receive, track, and manage mail and package deliveries.
- Receive, sort, scan, and organize packages of all sizes delivered by FedEx, Amazon, USPS, UPS, and other carriers.
- Maintain accurate package records and ensure proper chain of custody for all deliveries.
- Organize and store packages to facilitate efficient retrieval and pickup by students, faculty, and staff.
- Provide friendly, professional, and customer-focused service when assisting students, faculty, and staff with package inquiries and pickups.
- Process a high volume of incoming and outgoing mail and packages while maintaining accuracy and efficiency.
- Maintain a clean, organized, and secure mailroom environment.
- Follow established procedures and security protocols for package handling and distribution.
- Communicate effectively with customers, carriers, and internal stakeholders regarding package status and delivery issues.
Qualifications
- Strong customer service and interpersonal skills.
- Basic computer proficiency and ability to learn and use web-based applications.
- Strong organizational skills and attention to detail.
- Ability to work independently and prioritize tasks in a fast-paced environment.
- Previous mailroom, shipping/receiving, warehouse, logistics, or customer service experience preferred.
Physical Demands
- Ability to stand and walk for extended periods throughout the workday.
- Frequent bending, stooping, reaching, twisting, and lifting while sorting and organizing mail and packages.
- Ability to regularly lift and carry packages weighing up to 50 pounds without assistance.
- Ability to move heavier packages using carts, hand trucks, or other material-handling equipment.
- Frequent use of hands and arms for scanning, sorting, shelving, and retrieving packages.
- Ability to work in a physically active environment with a high volume of package movement and customer interaction.
