The Position:

The Accounting Assistant will provide essential support to the accounting department by performing various financial tasks and ensuring accurate and efficient recording of financial transactions. The role involves maintaining financial records, reconciling accounts, preparing reports, and assisting with administrative duties.

Responsibilities:

  • Process and record vendor invoices, ensuring accuracy and adherence to company policies.
  • Verify invoices for appropriate documentation and approval.
  • Prepare and process payment disbursements, including checks, electronic transfers, and wire payments.
  • Reconcile vendor statements and resolve any discrepancies.
  • Maintain accounts payable files and records.
  • Generate customer invoices and statements accurately and in a timely manner.
  • Monitor and follow up on outstanding customer balances.
  • Process customer payments and record transactions.
  • Assist in month-end and year-end closing procedures.
  • Prepare journal entries and post them to the general ledger.
  • Prepare bank deposits and record transactions.
  • Record credit card transactions.
  • Accurately enter financial data into the accounting system.
  • Maintain organized and up-to-date financial records and files.
  • Provide administrative support to the accounting department, including filing, organizing documents, and maintaining office supplies.
  • Assist with internal and external audits as required.

Requirements and Skills:

  • Associateโ€™s or Bachelor's degree in Accounting
  • 1 year experience in accounting cycle or finance role.
  • Fully Bilingual (English and Spanish).
  • Proficiency in using accounting software (e.g., QuickBooks, Sage 50, or similar systems).
  • Solid understanding of basic accounting principles and concepts.
  • Excellent attention to detail and accuracy in data entry and calculations.
  • Strong organizational and time management skills.
  • Professional communication skills, both written and verbal.
  • Ability to work collaboratively in a team environment.
  • Familiarity with relevant accounting regulations and compliance standards.
  • Proficiency in MS Office Suite, particularly Excel for data analysis and reporting.
