Overnight Veterinary Data Entry information

What is an overnight veterinary data entry?

Overnight Veterinary Data Entry jobs involve entering, updating, and managing patient and treatment data for veterinary clinics or hospitals during nighttime hours. These roles support veterinarians and staff by ensuring that records are accurate and up-to-date, often processing medical notes, test results, and billing information. Working overnight helps clinics maintain 24/7 operations and ensures that data is ready for review each morning. Attention to detail, familiarity with veterinary terminology, and computer proficiency are important for this position.

What are the key skills and qualifications needed to thrive as an overnight veterinary data entry professional?

To thrive as an Overnight Veterinary Data Entry professional, you need strong attention to detail, accuracy, and familiarity with veterinary terminology, often supported by experience in medical or veterinary administrative roles. Proficiency in veterinary management software, electronic medical record (EMR) systems, and data entry tools like Microsoft Excel is typically required. Excellent organizational skills, time management, and the ability to work independently during overnight hours are vital soft skills. These abilities ensure that veterinary records are accurately maintained and accessible, supporting effective clinical care and smooth hospital operations.

What are some common challenges faced in an overnight veterinary data entry role, and how can they be managed?

Working overnight in veterinary data entry often involves managing high volumes of patient records during quieter clinic hours, which can sometimes lead to feelings of isolation or fatigue. It’s important to establish a consistent sleep schedule, take regular breaks, and maintain open communication with the daytime team to ensure accurate handoffs and continuity of care. Staying organized and detail-oriented is key, as timely and precise data entry supports veterinarians and technicians in providing effective patient care.

Job description

Rye Harrison Veterinary Hospital is growing! After 60 years of caring for the pets and families of our community, we're thrilled to be opening our second location in August 2026 - and we're building our growing team right now.

Rye Harrison Veterinary Hospital at Rye Brook is hiring a full-time Front-Desk Receptionist to be the first point of contact for our veterinary clients, playing a crucial role in setting the tone for their visit. We are looking for a customer service professional who excels in a fast-paced environment, communicates clearly, and is passionate about animal care. You'll help shape the culture of a brand-new hospital from day one, working in a modern facility outfitted with state-of-the-art equipment, alongside teammates who are just as excited as you are to build something special. As a sister hospital to our well-loved flagship Rye Harrison location, you'll have the backing of an established team, proven systems, and a trusted name in the community.

What to Expect

As you join our mission, expect to be supported in your work and home life with:

  • A comprehensive benefits package, including medical, dental, and vision insurance
  • Paid time off and a 401(k) plan for full-time employees
  • Professional development opportunities
  • Employee pet discount because we know your pets are family, too.

Salary: $19.00 - $22.00 per hour,  determined by the candidate's skills, experience, and qualifications.

Schedule: This is a full-time position with a 4-day work week, Monday - Friday, and every other Saturday.

Responsibilities:
  • Greet and check in clients and patients at the front desk, collect intake information, and confirm appointment details in a professional and welcoming manner
  • Answer and manage a multi-line telephone system, directing calls and responding to inquiries regarding scheduling, services, and general information
  • Perform client check-out, including payment processing, posting charges, and scheduling future appointments
  • Provide composed and compassionate customer service to clients experiencing anxiety, distress, or difficult news regarding their pet's health
  • Perform accurate data entry and maintain organized records in the practice management system following onboarding and training
  • Communicate effectively with clinical staff to relay messages, flag urgent situations, and support efficient daily operations
  • Maintain a clean, organized, and welcoming reception and waiting area
Qualifications:
  • Minimum 1 year of experience in a front desk, receptionist, or customer service representative role - in a medical, dental, urgent care, veterinary, hospitality, or high-volume service environment
  • Demonstrated customer service skills with strong verbal and written communication, including active listening, managing client inquiries, and conveying information clearly and compassionately
  • Experience with appointment scheduling, multi-line phone management, data entry, and payment processing or point-of-sale (POS) systems
  • Strong organizational skills, attention to detail, and the ability to multitask effectively and adapt quickly to new systems and workflows in a fast-paced environment
  • Proficiency in Microsoft Office; ability to learn electronic medical records (EMR) or practice management software through structured onboarding
  • Demonstrated reliability, punctuality, and professionalism, with the ability to work both independently and collaboratively within a team environment
  • Genuine affinity for animals; comfortable working in a clinical environment that includes animal patients
