Job description

Organ Procurement Coordinator Department: CDT.

Work Shift:

Day. Located in the United States. Salary Range: To be determined. The Organ Procurement Coordinator performs a variety of duties, all of which are directly or indirectly related to increasing the availability of suitable organs and tissues for transplantation. Duties include identification and management of the organ donor, placement of the organs, operating room responsibilities during the procurement process, post‐organ donation debriefing, hospital and community education, and development to increase organ and tissue donor awareness.

Essential Job Functions

Participate in a rotating call schedule; carry a smartphone; call may exceed 50% of days in the month. Work hours are dictated by donor activity; during heavy case loads, utilize staff on the call schedule and contact off‐call staff as needed. Pay call and triple‐call pay as per policy; supplemental/overtime pay thresholds remain in place. Initially on call schedule 50% of days to fully learn organ donor processes.

Administer all responsibilities while promoting a team environment; travel by company vehicle, personal vehicle, charter planes, helicopters, and limousine services as required. Maintain professional relationships with CDT team, hospital staff, donor families, medical examiners, coroners, and other professionals. Notify supervisor or director of emergencies, unusual interactions or conflicts. Maintain confidentiality per CDT policy and applicable regulations; protect information from unauthorized access.

Manage time to prepare educational programs and other department activities. Accept responsibility for completing assigned work; seek assistance from co‐workers if needed. Adhere to scheduled work time; inform supervisor of changes or absences. Develop and implement educational plans for assigned hospitals; conduct quarterly visits. Coordinate Continuing Education Units (CEUs), non‐CEU programs, and major educational programs. Provide feedback to hospitals on compliance of routine referral.

Establish communication with community organizations and conduct informational presentations. Collaborate with community service organizations for awareness programs; participate in health and wellness fairs. Contribute articles to the Center for Donation and Transplant Newsletter. Rule out organs/tissues that are medically unsuitable; maintain accurate documentation in DonorTrac EMR. Obtain informed, legal authorization from families; follow CDT protocols.

Coordinate with medical and nursing staff to manage donors, maintain hemodynamic stability, order and perform tests, evaluate results, and adjust donor management. Coordinate with the recovery team and transplant programs; allocate organs in compliance with UNOS standards. Schedule the operating room; communicate special equipment and staffing needs; assure availability of procurement equipment. Package organs/tissues per CDT and UNOS policy; arrange transportation to transplant centers.

Return to potential donor hospital within 3 business days; provide feedback and evaluate process improvement. Participate in daily morning huddles, weekly case review meetings, organ donor after‐action reviews, and QI processes. Document, notify, and communicate reportable events to Director of Clinical Operations or Executive Director. Non‐Essential Job Functions Complete other tasks as assigned by the CDT Medical Officer. Attend additional meetings as assigned.

Qualifications

Associate's or bachelor's degree in a health care field. Prior organ procurement experience. Critical care nursing background. Operating room experience. Experience with the on‐call process. Physical ability to lift 75–100pounds. Ability to work extended hours. Excellent record keeping, calculation, guideline following, draft policy, and technical training skills. Previous data entry and computer experience preferred. All position requirements listed indicate the minimum level of knowledge, skills, and/or ability necessary to perform the job proficiently.
