We are seeking a full-time Marketing Data Coordinator to support sales and occupancy goals by managing CRM data, lead workflows, reporting, and database integrity. This role oversees daily CRM activity, inquiry and follow-up processes, and operational reporting while using advanced Excel skills to audit, reconcile, and standardize data for accurate reporting and system optimization. 


KEY RESPONSIBILITIES:

  • Manage daily CRM activity, including inquiries, lead assignments, follow-up, data entry, and database maintenance.
  • Audit, validate, and reconcile CRM data using advanced Excel functions to ensure accuracy and reporting integrity.
  • Prepare CRM reports and identify opportunities to improve workflows, SOPs, data quality, and system utilization.
  • Maintain CRM procedures and support system optimization with marketing, sales, TRS, and internal stakeholders.
  • Support sales appointments, communications, and marketing events, including RSVPs, attendance tracking, and event logistics.
  • Process invoices, track expenses, maintain budgets, and complete reconciliations.
  • Manage marketing supplies, sales collateral, promotional materials, and inventory.
  • Provide professional front desk coverage, greet residents and guests, and answer incoming calls.
  • Participate in meetings, communications, and other marketing initiatives as needed.
  • Perform other duties as assigned.

Requirements

REQUIREMENTS:

  • High school diploma or equivalent required; bachelor's degree in Business, Marketing, Organizational Development, or a related field preferred.
  • Valid VA driver's license with a safe and acceptable driving record required.
  • Proficiency in Microsoft Office, including Word, Outlook, PowerPoint, and advanced Excel.
  • Advanced Excel skills, including PivotTables, VLOOKUP/XLOOKUP, SUMIFS, filtering, sorting, data validation, auditing, and data reconciliation.
  • Experience with social media platforms and Adobe Creative Suite; InDesign, Photoshop, and Illustrator preferred.
  • Strong written, verbal, presentation, copywriting, and publishing skills.
  • Strong interpersonal, analytical, critical-thinking, problem-solving, organizational, and time-management skills.
  • Detail-oriented with sound judgment and the ability to manage multiple priorities and meet deadlines.
  • Professional, courteous, polished, knowledgeable, and patient when interacting with residents, guests, and colleagues.
  • Maintain reliable, punctual, in-person attendance and a full-time schedule; occasional evenings and weekends may be required.
  • Travel locally during the workday, including use of a personal vehicle; occasional overnight travel of up to 10% may be required.
  • Perform duties involving minimal physical and safety risk.
