Administrative Assistant

Arcetyp LLC is a growing small business that provides a broad range of consulting services to US Federal Government, US Military, and Commercial clients. Services include Management & IT Consulting, Program & Project Management, and Professional & Admin Services.

Arcetyp LLC is looking for a full time Administrative Assistant to support our US Government client. This position is onsite at the Department of Justice, 211 W. Fort Street, Detroit, MI 48226.

Position Overview

Seeking a highly organized and dependable Administrative Assistant to support daily operations at a Federal Government office in Detroit, Michigan. This position provides critical administrative, logistical, facility, and customer service support in a fast-paced professional environment. The successful candidate will assist with front office operations, visitor coordination, mail management, office logistics, supply management, facility support activities, and administrative services necessary to ensure continuity of operations. This role requires a motivated professional who can effectively manage multiple priorities, communicate professionally with employees and visitors, and support office operations with minimal supervision.

Required Qualifications
  • High School Diploma or GED.
  • Minimum two (2) years of administrative, office support, legal office, customer service, or related experience.
  • U.S. Citizenship.
  • Valid State-Issued Driver's License.
  • Ability to successfully complete a Department of Justice background investigation.
  • Strong verbal and written communication skills.
  • Excellent organizational and multitasking abilities.
  • Proficiency with Microsoft Office Suite, including: Word, Excel, Outlook, PowerPoint, Teams.
  • Experience using Adobe Acrobat or ability to quickly learn PDF document management tools.
  • Ability to operate office equipment including computers, printers, copiers, scanners, and mail processing equipment.
  • Ability to work effectively under deadlines and changing priorities.
Preferred Qualifications
  • Experience supporting a Federal agency, legal office, law firm, courthouse, or professional services organization.
  • Experience with records management, mail processing, inventory management, logistics coordination, or facilities support.
  • Experience coordinating meetings, visitors, vendors, and office operations.
Primary Responsibilities

Administrative Operations Support

  • Serve as a primary or alternate point of contact for front office administrative operations.
  • Greet and assist visitors, vendors, contractors, and employees.
  • Answer, screen, and route incoming telephone calls.
  • Monitor shared administrative mailboxes and distribute requests appropriately.
  • Maintain visitor logs and support visitor access procedures.
  • Coordinate conference room scheduling and meeting logistics.
  • Provide administrative and clerical support to management and staff.

Facility and Logistics Support

  • Coordinate maintenance requests and service calls.
  • Assist with office moves, workstation setup, and furniture reconfiguration.
  • Conduct routine inspections of office and storage areas.
  • Support inventory and accountability of office furniture, equipment, and supplies.
  • Assist with fleet vehicle coordination, maintenance scheduling, and recordkeeping when required.

Supply and Inventory Support

  • Receive, track, store, and distribute office supplies and equipment.
  • Monitor inventory levels and identify replenishment requirements.
  • Maintain organized supply rooms and storage areas.
  • Assist with property accountability and inventory documentation.

Mail and Records Support

  • Process incoming and outgoing mail and packages.
  • Support overnight shipping activities and mail distribution procedures.
  • Assist with records management and document organization activities.

Security and Access Coordination

  • Support office access control procedures.
  • Coordinate visitor access, keys, and access cards.
  • Report security, safety, and facility concerns to management.

Physical Requirements

This position requires regular movement throughout office and storage areas. Duties may include standing, walking, bending, lifting, carrying, and moving office furniture, supplies, equipment, and materials weighing up to 80 pounds, with or without assistance.
