Job description

Key Responsibilities
  • Coordinate end-to-end logistics for domestic and international air ambulance missions, including flight planning, crew scheduling, ground transportation, hotel arrangements, and customs/immigration.
  • Serve as the primary point of contact between flight crews, medical teams, patients' families, brokers, insurance providers, hospitals, and handling agents throughout the mission lifecycle.
  • File flight plans and obtain landing, overflight, and diplomatic permits in coordination with international handlers; verify all clearances prior to departure.
  • Monitor active flights in real time, track ETAs, communicate operational updates to all stakeholders, and proactively manage delays, diversions, weather impacts, and irregular operations.
  • Arrange fuel, catering, customs, ground ambulances, and ground handling at departure, en-route, and destination airports.
  • Verify crew duty and rest compliance under FAA Part 135 (or applicable regulatory framework) when building and adjusting mission schedules.
  • Review weather, NOTAMs, airport restrictions, and route conditions; escalate operational risks to the pilot-in-command and ROC Manager.
  • Maintain accurate and complete records in flight tracking, scheduling, and dispatch software; ensure mission documentation is properly closed out.
  • Conduct detailed shift handovers covering active missions, pending requests, open issues, and overnight priorities.
  • Support quotation, trip activation, and post-flight billing workflows by providing accurate timing, routing, and service data.
  • Adhere to REVA's Safety Management System (SMS), Standard Operating Procedures, and all applicable aviation regulations.
Required Qualifications
  • High school diploma or equivalent; associate's or bachelor's degree in aviation, logistics, or a related field preferred.
  • Minimum 1–2 years of experience in flight coordination, dispatch, charter operations, fixed-base operations (FBO), or a similar aviation logistics role.
  • Working knowledge of FAR Part 135 operations, international flight planning, and the permitting process for cross-border missions.
  • Proficiency with flight planning, scheduling, and tracking systems (e.g., Avianis, FOS, FlightAware, Jeppesen, ARINCDirect, or equivalent).
  • Strong written and verbal communication skills in English; additional languages (Spanish, Portuguese) are a plus given REVA's international operating footprint.
  • Demonstrated ability to multitask, prioritize, and remain composed in time-critical, high-pressure situations.
  • Strong geographic awareness and familiarity with global time zones, ICAO regions, and international airport operations.
  • Willingness and ability to work rotating 12-hour shifts, including nights, weekends, and holidays.
Preferred Qualifications
  • FAA Aircraft Dispatcher Certificate.
  • Prior experience in air ambulance, medevac, or international charter operations.
  • Experience working with handling agents in Latin America, the Caribbean, Europe, or Asia-Pacific.
  • Familiarity with HIPAA and patient privacy requirements in a medical transport setting.

Working Conditions

This position is based on-site at the REVA Operations Center (ROC) and operates in a fast-paced, 24/7 environment. The Flight Coordinator works primarily at a computer workstation with multiple monitors and is in constant communication via phone, radio, and digital messaging platforms. Shift work, including overnight and holiday coverage, is required.
