Job description

TITLE: Manager in Training DEPARTMENT: Store Management
STATUS: FT, Manager in Training, At-Will, Hourly REPORTS TO: Store Manager
JOB SUMMARY: To learn and perform the duties of a Department Manager in the assigned department by completing the manager in training program requirements. The goal is to promote into a permanent Department Manager opening within the assigned department.
PROGRAM REQUIREMENTS: Application and acceptance into manager in training program. Participate in program for up to a 6-month period, working and training at different Outpost locations as assigned. Complete manager in training learning checklist and demonstrate knowledge, skills and abilities in key management learning areas.
If Department Manager opening in the assigned department becomes available at any store location, must complete interview process and if receive job offer, must be willing to promote into the open position.
If not promoted into a Department Manager role, MIT program may be extended or end. There will be an option to interview for open full-time union hourly positions for potential placement and demotion wage.
WORK ENVIRONMENT: Fast paced retail floor. Regular work near moving mechanical parts (i.e., baler, dock equipment), in high precarious places (i.e., ladder work), and in cold climate conditions (i.e., cooler). Ability to work in moderate and loud noise environments including, but not limited to: computers, paging, telephones, human voices, and machinery. Position requires working during busy retail times, which include weekends, afternoons, and evenings. Position requires travel to multiple Outpost locations.
ESSENTIAL DUTIES AND RESPONSIBILITES:
1. Customer Service
  1. Treat people fairly, consistently, and with respect.
  2. Ensure efficient, informative, and friendly service according to established customer service vision and standards.

2. Learn and Perform Manager Duties
Leadership
  1. Model supportive and participatory leadership qualities, promote team building and motivate staff to achieve their stated objectives.
  2. Treat staff and managers with consistency and fairness, in a style appropriate to a cooperative work environment.
  3. Ensure that communications are clear, direct, and respectful.
  4. Ensure the integrity of Outpost's stated values in decision-making and interactions with others.

  1. Use the interest-based problem-solving method to resolve issues.
  2. Ensure professional and friendly service from all department staff.
  3. Act as a model to all employees following both the union contract and employee handbook.

Ordering and Pricing
  1. Review and gain understanding of Outpost Product Policy and standards for product quality and integrity.
  2. Build collaborative working relationships with purchasing staff.
  3. Coordinate prices and product selection with category manager to achieve set margin goals.
  4. Order product to ensure adequate supply of products while keeping out of stocks to a minimum and managing losses.
  5. Maintain good relations, contact information and ordering requirements with small and large vendors.
  6. Receive and process orders. Check condition of product and invoice accuracy on all deliveries.
  7. Review invoices for accuracy, price changes, and product additions. Process with pricing.
  8. Coordinate returns and credit from suppliers when needed and ensure that staff know how to do the same.
  9. Ensure accurate up-to-date pricing and signage of department items.

Department Operations
  1. Prepare weekly schedule to ensure a high level of customer service and operational efficiencies.
  2. Plan and assign daily tasks to ensure productive workflow.
  3. Ensure high quality, fresh product is properly merchandised on salesfloor.
  4. Ensure effective product rotation on salesfloor and in back stock.
  5. Ensure that all unsellable items are properly disposed and recorded.
  6. Maintain a clean, tidy and well-organized department.
  7. Follow department's standard operating procedures (SOP's). Ensure staff is aware of and trained in department SOP's.
  8. Ensure staff are following safety, sanitation and security procedures.
  9. Ensure department equipment is maintained and properly serviced. Advise Store Manager of equipment repair/replacement needs.
  10. Submit financial paperwork within set deadlines.
  11. Conduct quarterly inventory.

Merchandising
  1. Ensure displays and shelves are fully stocked, rotated, fronted, and faced. Set stocking priorities for department staff. Stock items as needed.
  2. Maintain quality standards for products.
  3. Ensure proper shelf tags and sale signs are on shelves and displays.

  1. Plan attractive displays. Coordinate displays and specials with Store Marketing & Merchandising Liaison.
  2. Cross merchandise products with other departments.

Personnel
  1. Uphold performance standards for all department staff.
  2. Schedule department staff according to weekly labor budget and quarterly cost of labor. Arrange for coverage of vacant shifts and fill in as needed.
  3. Hire qualified department staff within established policies.
  4. Ensure training for all department staff. Successfully complete training checklists with new department staff.
  5. Motivate and provide department staff with the tools and materials required to ensure high quality and efficient job performance.
  6. Provide regular, timely, and thoughtful feedback including performance evaluations to department staff.
  7. Conduct department meetings and maintain effective communication with staff.
  8. Take corrective counseling measures and/or disciplinary action as needed, according to established personnel policies.

Budgeting and Planning
  1. Attend management team meetings.
  2. Meet the established goals for margin, labor, sales, and inventory.

Other
  1. Perform all other duties included in department coordinator, assistant, journeyperson, and clerk job descriptions.

3. All Staff Duties
  1. Abide by all Co-op policies and procedures as outlined in the Employee Handbook and other company documents.
