Description
The Oto-Tech is a clinical support professional who works alongside audiologists to provide direct patient care, hearing aid services, and patient education. This position focuses primarily on patient-facing clinical responsibilities designed to improve access to care, enhance the patient experience, and maximize audiologist availability for diagnostic and treatment.
Primary Job Duties
Direct Patient Care with Direct Supervision by Audiologist
  • Provide hearing aid cleanings, maintenance, troubleshooting, and routine performance checks.
  • Perform hearing aid checks and service appointments.
  • Educate patients on the use, care, maintenance, and expectations of hearing aid technology.
  • Assist patients with Bluetooth connectivity, apps, and hearing aid accessories.
  • Conduct hearing aid orientations and demonstrate proper insertion, removal, cleaning, charging, and troubleshooting techniques.
  • Complete patient lifestyle assessments and hearing needs questionnaires prior to hearing aid evaluations.
  • Prepare patients for audiologic testing and hearing aid evaluations.
  • Obtain patient history and update relevant clinical information.
  • Assist with hearing aid fittings, follow-up appointments, and hearing aid deliveries.
  • Manage same-day hearing aid service appointments.
  • Perform electroacoustic listening checks and basic quality control procedures on hearing aids and accessories.
  • Assist patients with assistive listening devices and hearing aid accessories.

Clinical Testing Support
  • Prepare equipment and patients for audiologic testing.
  • Ensure testing rooms, equipment, and supplies are prepared and maintained.
  • Conduct equipment checks and routine maintenance of audiology equipment.
  • Clean and disinfect audiology equipment.

Hearing Aid & Device Management
  • Receive, inspect, and prepare hearing aids, earmolds, and accessories for patient appointments.
  • Process manufacturer repairs, warranty claims, returns, and exchanges.
  • Verify hearing aid programming requests and ensure devices are prepared for scheduled appointments.
  • Manage hearing aid inventory and supplies.
  • Track hearing aid orders and repair status to ensure timely patient follow-up.

Documentation & Compliance
  • Document all patient interactions, services provided, and hearing aid-related care in the electronic medical record.
  • Maintain accurate clinical records and hearing aid documentation.
  • Adhere to HIPAA regulations and patient confidentiality standards.
  • Follow established clinical protocols, quality standards, and safety procedures.

Patient Support & Care Coordination
  • Coordinate follow-up care and patient service needs.
  • Assist with patient questions regarding hearing aids, accessories, and hearing healthcare recommendations.
  • Support patient retention through proactive follow-up and ongoing hearing aid care.
  • Communicate patient concerns and clinical findings to the audiologist.

Administrative Responsibilities
  • Answer patient calls and voicemails related to hearing aid service, troubleshooting, and appointment coordination.
  • Confirm patient appointments.
  • Schedule hearing aid service appointments and follow-up visits as needed.
  • Assist with insurance benefit verification, 3rd parties, and prior authorizations for audiological testing and hearing aids.
  • Notify and discuss insurance coverage and benefits for hearing aids with patients.
  • Process and manage pre-authorizations for hearing aids with insurances, worker compensation, 3rd party, and
  • Support referral management and work queue activities as assigned.
  • Provide services such as copies/emails/faxing/scanning, etc.

Requirements
Education and Experience
  • High School Diploma or equivalent required.
  • Associate degree in healthcare, audiology, medical assisting, or related field preferred.
  • Experience in audiology, healthcare, hearing aid dispensing, medical assisting, or patient care preferred.
  • Experience working directly with patients in a clinical setting preferred.
  • Strong patient care and customer service skills.
  • Ability to educate and coach patients regarding hearing technology.
  • Excellent communication and interpersonal skills.
  • Strong organizational and time-management abilities.
  • Ability to work independently and as part of a clinical team.
  • Proficiency with electronic medical records and hearing aid software systems.
  • Experience with hearing aid technology, Bluetooth connectivity, and assistive listening devices preferred.
