Logistics Account Representative / Sales Support – Order Management


Position Summary

The Account Representative supports the Account Manager throughout the full customer order lifecycle—from quotation and order entry through procurement, shipment, invoicing, and final delivery.

This is a detail-intensive order management and commercial sales support position, not a general administrative, front desk, or HR support role. The ideal candidate will have hands-on experience processing a high daily volume of customer orders involving parts, machinery, product specifications, and configurations within an ERP system.


Essential Functions

Responsibilities include the following. Other duties may be assigned.

Customer Service and Sales Support

  • Support the Account Manager with the daily management of assigned customer accounts.
  • Respond to customer inquiries regarding quotations, pricing, product availability, order status, changes, shipping, and account information.
  • Provide accurate and timely communication throughout the order lifecycle.
  • Assist with preparing quotations and following up on open customer requests.
  • Maintain professional relationships with customers and internal business partners.


Order Management and ERP Processing

  • Process a high volume of customer quotations and sales orders in Microsoft Dynamics 365.
  • Review parts, machinery, product specifications, and configurations to ensure orders are entered accurately.
  • Confirm pricing, quantities, customer information, delivery requirements, and other order details.
  • Monitor orders from initial entry through procurement, fulfillment, shipment, invoicing, and delivery.
  • Maintain accurate customer, order, and transaction records within company systems.
  • Process order changes and update customers and internal departments accordingly.
  • Identify order discrepancies, missing information, delays, or fulfillment issues and assist with timely resolution.


Procurement and Logistics Coordination

  • Coordinate with Procurement to confirm product availability, purchasing requirements, and expected timelines.
  • Work closely with Logistics, Finance, Sales, and other internal departments to support accurate and timely order fulfillment.
  • Prepare and review purchase, shipping, delivery, and invoicing documentation.
  • Track order and shipment progress and communicate relevant updates to customers and the Account Manager.
  • Help resolve issues involving pricing, inventory, documentation, delivery schedules, or invoicing.
  • Maintain data integrity and follow established order-management procedures.


Regulatory Requirements

  • Complete the required Anti-Corruption and Anti-Bribery course.
  • Successfully complete all assigned company and position-specific training.


Education and Experience

  • Bachelor’s degree in Business Administration, Supply Chain, Logistics, or a related field preferred.
  • An associate degree or equivalent relevant work experience may be considered.
  • One to three years of experience in customer service, order management, customer order processing, inside sales support, procurement, logistics, supply chain, or distribution operations.
  • Hands-on experience supporting the full order lifecycle in a commercial, manufacturing, machinery, parts, or distribution environment strongly preferred.
  • Experience processing a high daily volume of detailed customer orders.
  • ERP or business-system experience required or strongly preferred; Microsoft Dynamics 365 experience is a plus.
  • Proficiency in Microsoft Office, particularly Outlook and Excel.
  • Bilingual English and Spanish communication skills, both written and verbal.
  • Strong data-entry skills with a high level of accuracy and attention to detail.
