Job description

About the Role
We are seeking a highly organized and detail-oriented Order Processing & Fulfillment Specialist to manage customer orders from entry through shipment.
Approximately 80% of this position is focused on entering, reviewing, processing, and tracking orders using our accounting/ERP software. The remaining 20% includes customer communication, shipment coordination, documentation, and general office support.
This is a hands-on, transaction-focused role for someone who enjoys working with detailed order information, maintaining accurate records, resolving discrepancies, and ensuring that orders move through the fulfillment process correctly and on time.
The ideal candidate is comfortable spending most of the workday processing orders in an accounting or ERP system. Success in this position requires accuracy, consistency, urgency, and strong follow-through.
Location: Los Angeles, near the Alhambra border
Schedule: Monday-Friday, 7:30 a.m.-4:00 p.m., with a 30-minute lunch
Primary Responsibilities: Order Processing and Fulfillment
  • Enter and process customer orders, quotes, and related transactions using accounting/ERP software
  • Review orders for accurate customer information, product numbers, quantities, pricing, shipping instructions, and payment terms
  • Confirm product availability and coordinate order requirements with production, shipping, sales, and accounting
  • Monitor orders from entry through fulfillment and shipment
  • Identify and resolve missing information, pricing discrepancies, inventory issues, and other order exceptions
  • Maintain accurate customer, product, pricing, and order records
  • Communicate backorders, expected ship dates, order changes, and delivery updates
  • Prepare shipping documentation and coordinate shipments through USPS, UPS, FedEx, and other common carriers
  • Obtain and provide shipment tracking information to customers and field representatives
  • Ensure orders and supporting documents are complete, accurate, and properly filed
  • Follow up on open orders and outstanding issues until they are resolved
Secondary Responsibilities
  • Respond to customer questions by phone and email
  • Prepare and send SDS documents, product literature, and labeling information
  • Assist with incoming calls, mail, filing, office supplies, and related administrative tasks
  • Support sales, accounting, production, logistics, and field service teams as needed
  • Perform other related duties assigned by management

  • Demonstrated ability to enter and review detailed information with a high level of accuracy
  • Experience coordinating with shipping, accounting, sales, production, or warehouse teams
  • Strong written and verbal customer-service skills
  • Proficiency in Microsoft Outlook, Excel, and Word
  • Ability to manage multiple orders and competing deadlines independently
Preferred Qualifications
  • Experience in a manufacturing, distribution, wholesale, industrial, or product-based business
  • Experience processing a high volume of orders
  • Familiarity with Adobe Acrobat
  • Experience preparing carrier shipments and shipping documentation
  • Experience handling backorders, pricing discrepancies, and customer-specific order requirements
