Job description

Inside Sales Coordinator  

Job Description: 

The inside sales coordinator is a member of the in-house sales team and order entry team. By representing the Spitzer brand, the coordinator works with the rep agencies assigned to them by region and ensures their agencies are being offered exceptional customer service. 

Job Duties: 

  •  Answer customers’ questions about the prices, availability, emphasize product features referring to product literature, provide positive courteous customer service to the customer. Sells additional products by recognizing up-selling opportunities and explaining new features. 
  • Enter quotes and qualified orders into the system to assure accuracy and efficiency.
  • Collaborate with colleagues to exchange information, such as information on selling tactics and marketing information, give feedback to marketing team to make necessary update on marketing materials.
  • Build detailed sales reports.
  • Follow up with rep agencies with a “thank email/letter” after each visit that the outside sales director attended. Collaborate with the sales director on when to send samples out upon their confirmation of a welcome letter sent to our customers.
  • Obtain resale certificate on initial account set-up with Spitzer. The inside sales will work to gather resale certificates that are not currently on hand to maintain the rep's account. 
  • COI - certificate of insurance, obtain from rep group for distributor.
  • Distributor agreement and contracts obtained after initial sign-up. 
  • Collaboration: Collaborate with other departments such as sales, logistics, and accounting to ensure smooth order processing and fulfillment
  • Customer Service: Provide excellent customer service by promptly responding to customer inquiries, resolving order discrepancies, and addressing issues related to delivery timelines and backorders.
    • Manage a backlog of customer complaints and reach out to reps on what happened
  • Follow up on samples that have been sent out to reps and inquire if the products met their expectations. Take note of if there is a problem with the fixtures. 
  • Follow up on quotes, check in with rep on if they will be moving forward with ordering, and check in on the status of the quote.
  • Purchasing Coordination: Work with outsource vendors to coordinate the purchasing of materials or products, ensuring alignment with customer orders and company requirements.
  • Order Accuracy: Verify order details, including pricing, rep commissions, quantities, and delivery schedules, to ensure all information is accurate and meets customer expectations.

Requirements: 

2+ Years of Customer Service Experience  

Strong communication skills 

Proficient in Microsoft programs
