Job description

American Solutions for Business (ASB) is an employee-owned company that helps customers with print, branded merchandise, eCommerce, and fulfillment services. Founded in 1981, ASB has grown to be one of the largest distributors in the industry.

Start your career journey with ASB as an Order Processing Coordinator.  In this role you will  focus on processing sales orders, vendor invoices, and billing. You will also support assigned sales associates by providing updates on order status and fulfillment programs. This includes communicating with clients, vendors, and internal home office teams.

This position will require working on site in Glenwood, MN up to the first year and then will have the opportunity to be hybrid and/or remote.

In this role you will:

  • Process sales orders, discrepancies, inventory documents daily according to established department policies and procedures, to include:
    • Ensure all incoming orders are received, entered, and saved into order management system and tagged in the workflow management system (Mfiles).
    • Utilize ASB platforms to process orders daily, by performing data entry functions on purchase and sales orders based on specific program requirements, attaching all correspondence and documents related to order.
    • Match vendor invoices and warehouse packing slips to purchase orders.
    • Invoice customer upon receipt of all paperwork; verifying costs are accounted for and are accurate.
  • Provide timely support, research, and feedback regarding the status of orders, concerns and/or pending changes as it relates to orders, such as:
    • Contacting vendors regarding missing vendor invoices or documentation of credits applied to an account.
    • Contacting sales associate regarding missing purchase orders providing scanned version of invoice.
    • Collaborate with inventory, finance, and other home office support teams to meet or exceed sales, client and vendor expectations by:
    • Coordinating updates when warehouse or vendor removes old merchandise.
    • Gathering and preparing information for credit memos.
    • Inputting orders for warehouse and remote locations.
    • Gathering inventory receiving documents and forward documentation to Inventory Team for receipt completion.
    • Assisting with inventory reconciliation as required.
  • Run and review various reports daily and weekly to manage the status of orders, freight integration, shipping detail accuracy, and aged invoices utilizing the information to process, prepare and/or notify sales associate, home office department or vendor for necessary information needed to complete orders or discrepancies noted on reports.
  • Collaborate with sales associates to create professional working relationships.
