Job Summary We are seeking a customer-focused Customer Order Management Representative to serve as the primary point of contact for assigned customer accounts. This role is responsible for managing the entire order lifecycle, from customer setup and order entry to shipment coordination and issue resolution, ensuring orders are processed accurately and delivered on time. The ideal candidate will possess strong customer service, order management, communication, and problem-solving skills, with the ability to work effectively across multiple departments and customer groups. Key Responsibilities Order Management & Customer Support Manage assigned customer accounts throughout the complete order lifecycle, including customer setup, order entry, order modifications, and issue resolution. Ensure customer orders are processed accurately and shipped according to agreed timelines. Serve as the primary point of contact for customers, distribution centers, manufacturing facilities, and internal departments. Provide proactive communication and regular status updates throughout the order fulfillment process. Coordinate logistics activities as required to support order fulfillment objectives. Cust omer Issue Resolution Investigate and resolve complex customer inquiries using a detailed understanding of company systems, processes, and procedures. Respond to customer requests within established Service Level Agreements (SLAs). Escalate complex issues to the appropriate support teams while maintaining ownership and visibility throughout resolution. Maintain a high level of customer satisfaction through professional and timely communication. Documentation & Compliance Maintain accurate records of customer interactions, orders, inquiries, and resolutions within designated systems and databases. Ensure compliance with export regulations and shipping requirements. Prepare and maintain required export and shipping documentation according to applicable regulations and company policies. Support documentation accuracy and audit readiness. Quality & Cross-Functional Collaboration Serve as a liaison between customers and manufacturing or aftermarket operations regarding quality concerns. Submit and track Material Non-Conformance (MNC) and Process Non-Conformance (PNC) claims through Quality Management Systems. Collaborate with Sales, Manufacturing, Logistics, Distribution, Quality, and Customer Support teams to ensure effective order execution. Assist with customer visits and support customer relationship management activities. Reporting & Continuous Improvement Prepare and distribute standard and customized reports for internal stakeholders and customers. Monitor and support Customer Order Management metrics and performance objectives. Participate in and lead process improvement initiatives designed to enhance customer service and operational efficiency. Support departmental goals to build a proactive and customer-centric service organization. Required Qualifications High School Diploma or equivalent; Associate's or Bachelor's degree preferred. Experience in Customer Order Management, Customer Service, Order Processing, Supply Chain, Logistics, or a related field. Bilingual proficiency in Spanish and English (written and verbal) is required. Experience working with Microsoft Excel and other Microsoft Office applications. Strong order management and customer account support experience. Excellent verbal and written communication skills. Strong problem-solving and analytical abilities. Ability to manage multiple priorities in a fast-paced environment. Strong attention to detail and organizational skills. Experience working with ERP, order management, or customer relationship management systems. Preferred Qualifications Experience in manufacturing, distribution, logistics, supply chain, or aftermarket support environments. Knowledge of export compliance, shipping documentation, and international order processing. Experience with Quality Management Systems and non-conformance processes. Experience preparing customer and operational performance reports. Continuous improvement or process optimization experience.
