Project Coordinator

USA Renovations

Position Summary

USA Renovations is seeking a highly organized and detail-oriented Project Coordinator to support the successful execution of commercial construction and facility renovation projects across the United States.

The Project Coordinator serves as a key administrative and operational support resource for Project Managers and field teams by assisting with project setup, document management, scheduling, compliance tracking, purchasing, travel coordination, and client communications.

This role is ideal for someone who thrives in a fast-paced environment, enjoys solving problems, and can effectively manage multiple priorities while maintaining exceptional attention to detail.


Essential Responsibilities

Project Administration

  • Create and maintain project records within company management systems.
  • Assist with project setup, contract administration, and project closeout documentation.
  • Maintain project files and ensure documentation is accurate, complete, and organized.
  • Track project milestones, deliverables, and deadlines.

Documentation & Compliance

  • Collect, review, and organize project documents including:
    • Contracts
    • Change orders
    • Insurance certificates
    • Permits
    • Safety documentation
    • Closeout packages
  • Assist in maintaining subcontractor and vendor compliance requirements.
  • Ensure project records are current and properly filed.

Scheduling & Coordination

  • Coordinate travel, lodging, and logistical arrangements for field personnel.
  • Support manpower scheduling and project mobilizations.
  • Assist Project Managers with project planning and scheduling activities.
  • Coordinate communication between internal departments, clients, vendors, and field teams.

Purchasing & Vendor Support

  • Assist with purchase order creation and tracking.
  • Coordinate material deliveries and vendor communications.
  • Monitor open purchase orders and support invoice reconciliation efforts.

Project Systems Management

  • Maintain accurate project information within company software platforms.
  • Assist with reporting, data entry, and project tracking.
  • Generate project reports as requested by management.

Qualifications

Required

  • High school diploma or equivalent.
  • Minimum 2 years of administrative, project coordination, construction administration, or related experience.
  • Strong proficiency with Microsoft Office Suite.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management abilities.
  • Ability to prioritize multiple tasks in a deadline-driven environment.

Preferred

  • Associate's or Bachelor's degree in Construction Management, Business Administration, or related field.
  • Experience supporting commercial construction projects.
  • Experience using project management software such as Procore.
  • Experience working with accounting, purchasing, or project tracking systems.
