Job description

We are looking for a detail-oriented Program Administrator, Infrastructure Solutions to support complex project operations and reporting activities in Pelzer, South Carolina. This Long-term Contract position will partner closely with program leadership to strengthen project controls, maintain accurate records, and improve visibility into financial and manufacturing progress. The ideal candidate brings strong organizational skills, sound judgment, and the ability to coordinate across multiple teams while keeping documentation and systems aligned.
Responsibilities:
• Provide day-to-day administrative and operational support to the Program Manager by handling urgent requests, resolving order-related issues, and assisting with project coordination needs.
• Configure and maintain project collaboration platforms, including Procore, Smartsheet, or other designated tools, so each project is set up for effective tracking and communication.
• Review project and manufacturing data to confirm system records accurately reflect current production status and flag discrepancies for follow-up.
• Assist in preparing, revising, and distributing project reports by compiling current financial details and other critical performance information.
• Document and monitor project and site change orders, ensuring responsibilities are assigned, updates are communicated, and open items are reviewed regularly.
• Develop and manage processes for capturing manufacturing progress to support accurate billing, revenue recognition, and project status reporting.
• Maintain clear communication channels with project stakeholders, company leadership, and customer contacts to identify issues that differ from plan and escalate concerns when needed.
• Organize project records within the designated intranet and project management systems, identify documentation gaps, and reinforce compliance with established workflows and procedures.
• Coordinate finance-related project meetings, manage attendee communication, track scheduling conflicts, and support timely discussions around cost, budget, and revenue performance.
• Monitor original, current, and forecasted financial metrics for assigned projects and help investigate and correct sales order or accounting discrepancies.• Bachelor’s degree in business, finance, project management, or a related field.
• Experience supporting project management, program administration, or infrastructure-related operations in a structured business environment.
• Strong communication and collaboration skills with the ability to work effectively across internal teams, executives, and customer representatives.
• Proficiency with Microsoft Office applications, including Word, Outlook, and PowerPoint, along with comfort using internet-based business tools.
• Working knowledge of project documentation practices, workflow coordination, and records management within project management platforms or intranet systems.
• Ability to analyze data, track KPIs, and reconcile information related to manufacturing progress, invoicing, budgets, and revenue.
• Familiarity with ERP, CRM, sales order processes, and revenue accounting concepts is preferred.
