Job description

Job Purpose: 
Supervises Residency Program Coordinators and is responsible for managing the day-to-day operations of the residency and/or fellowship program and serves as the liaison with Residents/Fellows, faculty, other staff members, the DMC Graduate Medical Education Office  and its staff, and the Accreditation Council for Graduate Medical Education or other accreditation body overseeing the program. Individuals serving in this role are recognized as program coordinators by Accreditation Council for Graduate Medical Education. Ensures compliance with Accreditation Council for Graduate Medical Education program guidelines and ensures program objectives are met, while identifying gaps and making recommendations for program improvement.  Residency Program Coordinators/Managers will support the program and program director in accreditation efforts, educational programming, and support of residents. Reports to Program Director & Chair, Emergency Medicine. 
Essential Functions: 
Supervises, directs and evaluates Residency Program Coordinators through direct interaction.  Supports the strategic planning process. Oversees day-to-day program reporting. Maintains and updates logs, maintains schedules, coordinates resident evaluations, duty hours, and attendance records. Maintains communication with all stakeholders including all accreditation bodies (Accreditation Council for Graduate Medical Education, National Resident Matching Program, American Board of Psychiatry and Neurology, Detroit Medical Center Graduate Medical Education, Wayne State University Faculty and administration). Prepares agenda, takes and distributes minutes for various Medical Education Committee Meetings. 
Serves as key technical specialist and/or consultant responding to inquiries which necessitate complex problem resolution techniques. Keeps up-to-date on technical and administrative developments and integrates them in the specific operational activities, services and mission of assigned area. Participates in related professional organizations and represents and enhances the assigned organizational area on various committees or task forces to promote program services, activities, and initiatives. Provides presentations at national meetings. 
Maintains program compliance with regulatory agency standards and retains essential documents required for program viability.
Maintains familiarity with best practices and advancements in program coordination and development. 
Maintains knowledge, sensitivity, interest, understanding, and experience working with diverse ethnic, cultural, and socio-economic backgrounds.
Schedules training sessions, works with vendors and presenters, and oversees implementation of educational goals. Coordinates monthly didactic schedule, which includes identifying speakers. Collects lecture evaluations and prepares summary reports, maintains lecture attendance records and documentation, corresponds with program faculty.
Evaluates medical residents' self-reporting compliance requirements and hold them accountable to meet requirements. Counsels and advises medical residents regarding paperwork and medical resident training obligations, as well as personal life issues.  Participates in remediation process as necessary. Enters all board passage data for graduates of the program into New Innovations, or other residency management database.
Coordinates development of budgeting/funding support programs, monitors program costs and analyzes resources, equipment and services utilized. Plans, develops and implements program strategies. Researches and identifies program needs and proposes changes where appropriate as they impact specific program objectives. Oversees and coordinates needs assessment and related cost/benefit analyses; provides independent direction in executing and attaining program objective and enhancing services offered.
Coordinates annual and semi-annual reviews, serves as a member of Clinical Competency Committee, and ensures evaluation data and feedback mechanisms are tabulated for each time period. Provides annual reporting to Accreditation Council for Graduate Medical Education and Graduate Medical Education through Annual Program Evaluation reports using necessary data. Uses the survey data for strategic planning. According to 10 year accreditation schedule, completes requests from the site visit team of what they want to see and prepare for their Accreditation Council for Graduate Medical Education/ Residency Review Committee site visit.
Coordinates all aspects of resident recruitment and selection process via the following methods: campaign planning, web-site and social media content development, application process and review, scheduling and coordinating interview days, establishing and maintaining data files for use in preparation of rank list for match and corresponding with candidates.
Coordinates rotation, vacation and call schedules in coordination with chief residents and clinic staff. Serves as a liaison between the Graduate Medical Education Office Leadership and Program Directors, Residents and other Departmental Program Coordinators. Coordinates the development and distribution of rotation objectives.
Coordinates the preparation and signing of contracts for new and existing residents as well as necessary paperwork and materials.  Prepares, organizes, and distributes materials for new resident orientation. Maintains current contact information for all residents/fellows faculty, and staff in the program.
Plans and organizes resident graduation. Verifies training and status for current and past residents. Processes letters of recommendation as needed.  
Performs other related duties as assigned.
