If you're the kind of person who color-codes their to-do list and actually finishes it, we want to talk to you. This role is perfect for someone early in their career who's eager to learn the ins and outs of agency life  -  someone who thrives on staying organized amid a dozen moving parts, isn't afraid to ask questions, and takes pride in the details other people miss.

Responsibilities

Client Services & Project Coordination

  • Support Brand Managers and the Accounts Team with day-to-day client account management and project coordination
  • Draft, organize, schedule, and quality-check client marketing communications, including email campaigns and social media content
  • Proof client-facing deliverables, including social media calendars, presentations, emails, and other materials
  • Assist with development and production of digital deliverables, such as blog posts, social content, website updates, and email campaigns in HubSpot

  • Perform QA reviews to help ensure deliverables are accurate, complete, and aligned with client requirements before client review
  • Coordinate vendor quotes, draft client estimates, assist with status reports, and help build project schedules
  • Organize client documents and ensure materials are accessible and up to date
  • Monitor media plans and client budgets, and confirm all project hours are logged in the project management system
  • Assist with new business efforts, including RFP coordination, proposal preparation, and research and presentation support
  • Participate in weekly check-ins with team leads to review priorities and receive training
  • Communicate clearly with Brand Managers and escalate issues or delays promptly
  • Pull project hour reports from Kantata and assist with quarterly reconciliation of project budgets and logged hours
  • Accurately log hours worked in Kantata to support tracking of time spent on client projects

General

  • Perform other related duties as assigned to support seasonal workload, agency operations, office administration, and cross-team collaboration

Requirements

  • Must reside in or be willing to relocate to Gainesville, FL
  • Coursework in public relations, advertising, marketing, or a related field
  • Strong written and verbal communication skills
  • Excellent organizational and time management abilities
  • Willingness to learn new tools and processes, including Kantata and shared drive systems

  • Holiday Break Days in November and December
  • Paid parental leave and a free Employee Assistance Program
  • A hybrid, collaborative culture with an open-door policy - we want to hear your ideas, not just your deliverables
