Job description

Introduction
The Wisconsin Department of Children and Families (DCF), Division of Milwaukee Child Welfare (DMCW), Administrator's Office, Integrated Operations and Support Services, is currently recruiting to fill an Office Operations Associate (second position) position in Milwaukee, WI. This position is headquartered at our Milwaukee Department of Children and Families Office, located at 635 N. 26 th Street, and will have the option to work hybrid for up to three (3) days per week, once training is complete. This schedule may change based on training or operational needs. Employees need to report to the office on their first day for onboarding and orientation. The hours for this position are 12:00 p.m. - 8:30 p.m. Monday through Friday.

Position Summary
Under the general supervision of the Program Assistant Supervisor, Advanced, this position's primary responsibilities are to provide second shift administrative support to office staff and serve as backup to first shift office staff when needed. Primary duties include ensuring timely callbacks occur by assigning and logging each call back request, and Mandated Reporter letters have been sent to the appropriate parties.
This position will be required to follow direction and complete tasks efficiently and independently while adhering to program policies and regulations. This position will exercise considerable tact, judgement, and decision-making skills while maintaining a professional attitude and demeanor while performing program specific assistance, as assigned.

Salary Information
The classification title for this position is Office Operations Associate. The starting salary is $21.05 per hour ($43,784 annually) . Pay for current State of WI employees will be based on the compensation plan in effect at the time of the appointment. Pay for current state employees who are transferring will be determined based upon the pay on transfer rules (higher level duties or equity) as outlined in the compensation plan in effect at the time of appointment.
The pay schedule/range is 02-10. A one-year probationary period may be required.
Job Details
Due to the nature of the position, final candidates may be required to allow DCF to conduct a security background check to determine whether the circumstances of any pending charges or convictions would be substantially related to the job being filled.
Applicants must be legally entitled to work in the United States (i.e., a citizen or national of the U.S., a lawful permanent resident, an alien authorized to work in the U.S. without DCF sponsorship.) The Department of Children and Families does not sponsor visas, either at time of hire or at any later time.
Qualifications
Minimally qualified applicants will have:
  • Experience handling sensitive/confidential information and/or documentation
  • Experience performing day-to-day administrative support (i.e. filing, updating forms, drafting memos, maintaining/updating spreadsheets, mail merges, receiving mail, monitoring office supply inventory, assembling materials related to interviews and placements)
  • Experience handling multiple requests (i.e. directives, questions and issues from several program areas, internal departments, and external customers)
Well-qualified applicants will have:
  • Experience working with or handling public records requests, recordkeeping and/or filing/tracking records
  • Experience using databases or regulatory software (eWiSACWIS or similar) to research and pull program/business information for internal/external requests or customers
  • Experience providing administrative support to others with a high level of discretion.
