We are scaling rapidly and seeking a strong operational leader to bring structure, execution, and efficiency to the business as we professionalize our operations.

About the Role

This is a high-ownership, execution-heavy role for a strong operator who thrives on driving results rather than supporting them. You will partner directly with leadership to own day-to-day execution, reduce reliance on them for routine matters, build scalable systems, and act as a true force multiplier for the business.

This is not a traditional administrative or executive assistant position. Expect full ownership of outcomes, accountability enforcement, and continuous process improvement.

What You’ll Own

Operational Execution

  • Drive day-to-day operations and ensure tasks, projects, and follow-ups are completed on time and to standard

  • Proactively identify inefficiencies and implement solutions that increase speed and clarity

  • Maintain momentum across teams with consistent ownership and follow-through

Accounts Receivable & Collections

  • Fully own the end-to-end invoice follow-up and collections process

  • Build and improve systems for tracking, reminders, escalation, and payment recovery

  • Proactively follow up with clients — including making collection calls — to secure timely payments while maintaining strong relationships

This is a key performance area. The role requires hands-on collections work — including making proactive phone calls and persistent follow-ups — today, while you simultaneously design and implement better systems that will significantly reduce manual chasing over time.

If you are not comfortable with regular collections calls and firm follow-up, this is not the right role for you.

Project Management

  • Own high-impact, cross-functional initiatives from concept through completion

  • Translate leadership priorities into clear plans, timelines, and deliverables

  • Remove blockers quickly, maintain momentum, and hold stakeholders accountable

Processes & Systems

  • Redesign, document, and continuously improve core operational processes and SOPs — including building new ones as the business evolves

  • Develop and deliver training materials, resource documents, and video guides for internal teams (primary) and external partners as needed

  • Optimize Asana, Google Workspace, and CRM platforms

Team & Stakeholder Support

  • Act as the primary operational point of contact for internal teams and distributors, serving as the first line of problem-solving and decision-making

  • Support leadership by participating in strategy and business development conversations, performing research, surfacing obstacles, assisting with prioritization, and converting objectives into detailed execution plans

  • Drive execution of both day-to-day operations and new strategic initiatives with excellence, significantly reducing leadership dependency across the board

Distributor Relations & Compliance

  • Serve as the primary operational point of contact for all distributors and act as the first line of defense for questions and day-to-day operational issues

  • Support regular communication and maintain strong, consistent relationships across the distributor network

  • Enforce ADA (Distribution Agreement) terms, including royalty reporting, payment deadlines, and late fee structures

  • Revamp and right-size the corporate audit process for accuracy, efficiency, and accountability

  • Build structured systems, automated reminders, and workflows to drive compliance and minimize manual enforcement

  • Operations run smoothly and predictably with minimal leadership intervention

  • Key projects are delivered on time and with clear accountability

  • Invoices are collected proactively and efficiently

  • Documented processes are in place and actively used across the team

  • The business feels more professional, organized, and scalable

  • Leadership is no longer the bottleneck for day-to-day execution

What We’re Looking For

  • 5–10 years of experience in operations, project management, or business operations roles (experience in media, publishing, real estate, or small-to-mid-size growth companies is a plus)

  • Proven ability to own outcomes and drive execution independently

  • Strong systems thinker who naturally improves processes

  • Excellent communicator who is comfortable following up, escalating, and holding people accountable

  • Highly organized with exceptional follow-through

  • Proficiency with Asana (or similar), CRMs, Google Workspace, and project management tools

Compensation

  • Base salary: $70,000 – $80,000

  • Performance-based bonus tied to collections improvement, project delivery, and operational impact
