Job description

Administrative Operations Coordinator (Entry Level) – Des Plaines, IL
$48,000 - $55,000/Annually (Plus full benefits)
We are a medical device manufacturing company that helps healthcare providers deliver reliable patient care through precision-built products and strong operational support. Our work happens behind the scenes of hospitals, clinics, and healthcare systems, where accuracy, communication, and consistency matter every day.
As our company continues to grow, we’re looking for people who want more than just a job title, we want team members who are excited to learn how a business operates from the inside out. This role sits at the center of several departments and gives you direct exposure to the day-to-day coordination that keeps orders moving, customers supported, and operations running smoothly.
If you’re someone who enjoys staying organized, figuring things out, and being the person that helps connect the dots between teams, this is a great opportunity to get your foot in the door with a company that values growth and internal development.

What You’ll Be Doing

  • Maintain and organize customer, shipping, and operational documentation
  • Enter, update, and verify information in internal systems and databases
  • Manage shared email inboxes and ensure timely communication and follow-up
  • Coordinate with multiple departments to resolve order discrepancies, shipment issues, and customer concerns
  • Track order updates and provide internal status communication when needed
  • Review documents for accuracy and completeness before processing
  • Assist with reporting, data entry, and general administrative support tasks

What We’re Looking For

  • Associate’s Degree is required, Bachelor’s Degree is preferred
  • Experience in Microsoft Suite
  • Strong attention to detail and organizational skills
  • Comfortable learning new systems and working with data
  • Good written and verbal communication skills
  • Ability to multitask and stay organized in a busy environment
  • Positive attitude and willingness to learn
  • Previous office, customer service, administrative, or internship experience is helpful but not required

Why This Role is a Great Opportunity

This is one of those roles where you learn a little bit of everything. You’ll gain hands-on experience with documentation, operations, internal systems, customer coordination, and cross-functional communication, all while building a strong professional foundation in a highly stable industry.

There is also significant room for growth within the organization. Many employees who start in coordination or administrative positions go on to grow into operations, customer service, supply chain, quality, or project-based roles over time.
