The Role

As Samples Coordinator, you champion the product samples process and execute successful fulfilment and delivery of product samples to our customers and prospects. The Samples Coordinator will communicate with internal teams including product specialists, production management, QA, marketing, new product development, and the sales team to ensure requirements are well understood. You are an energetic person who is action driven and collaborates well with multiple departments and different locations to efficiently coordinate the selection, packaging, and shipping of product samples to customers. This sample process is critical to support successful customer relations and achieving potential new sales opportunities. This position reports to the Sales Operations Manager. 

Essential Functions:

The Samples Coordinator acts as a liaison throughout the process to ensure the right samples are delivered per the specifications to the right customer location at the right time. Daily duties include but are not limited to: 

  • Monitor and respond to email correspondence requesting updates or changes
  • Receive and approve new sample requests, select appropriate facility/warehouse with the right inventory and approve samples for shipping
  • Document and maintain a tracking system of samples
  • Identify and engage the next person responsible for the next step of the process
  • Follow up on multiple sample orders and ensure progress
  • Communicate to the different stakeholders from the request to customer delivery 
  • Update the shipping information and costing in the appropriate system
  • Follow up on the successful delivery of the sample
  • Assist the plant in producing samples when we production is at capacity
  • Assist QA in gathering pictures for customers
  • Identify gaps and opportunities to further improve the process
