Position Summary
We are seeking a highly organized, detail-oriented Operations Administrative Assistant to support company operations, executive leadership, and strategic initiatives. This role combines executive support, reporting and analytics, process documentation, communications, project coordination, and administrative operations.
This position is based in Philadelphia, PA and is expected to work on-site to support company operations, executive leadership, meetings, events, and cross-functional initiatives. Occasional travel between company locations, partner sites, events, or conferences may be required based on business needs.
Key ResponsibilitiesReporting amp; Data Management
  • Maintain and update monthly company scorecards and operational reports.
  • Collect, validate, and consolidate data from multiple internal sources.
  • Create and maintain Excel-based dashboards and tracking tools.
  • Support ad hoc reporting and analysis requests.
  • Identify opportunities to improve reporting accuracy and visibility
Process Documentation amp; Operations Support
  • Develop, update, and maintain Standard Operating Procedures (SOPs).
  • Assist with monthly maintenance of the companyโ€™s Operations amp; Compliance Manual.
  • Document workflows, policies, and operational processes.
  • Support continuous improvement initiatives.
  • Coordinate with department leaders to ensure operational documents are current
Executive amp; Administrative Support
  • Coordinate executive travel arrangements and itineraries, including CEO and Director of Strategic Partnerships.
  • Provide scheduling and administrative support.
  • Coordinate events, conferences, and exhibits.
  • Prepare presentations, meeting materials, and action-item tracking.
  • Maintain organization of follow-up items, commitments, deadlines, and leadership priorities
  • Assist with special projects and cross-functional initiatives.
  • Maintain ordering of office supplies, equipment, and other administrative needs.
  • Handle confidential and sensitive information with professionalism and discretion.
Marketing amp; Communications
  • Coordinate company newsletters and internal communications.
  • Update website content as needed.
  • Assist with marketing collateral and organizational announcements.
  • Coordinate with external vendors when appropriate.
  • Maintain and update Salesforce records and tracking tools, ensuring accurate data, timely follow-up, and reliable reporting.
Project Coordination
  • Track project timelines, deliverables, and commitments.
  • Coordinate activities across departments.
  • Follow up on project action items to ensure progress remains on track
  • Support execution of key organizational priorities.
Qualifications
  • 3+ years of experience in administrative, operations, project coordination, or executive support roles.
  • Advanced Microsoft Excel proficiency.
  • Exceptional attention to detail and organizational skills.
  • Strong written and verbal communication abilities.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Experience creating SOPs, newsletters, presentations, or marketing materials preferred.
  • Healthcare, pharmacy, or multi-site operations experience preferred.
