Job description

Job Title: Corporate Operations Coordinator (Administrative Services) – Entry Level


  • Department: Corporate Administration
  • Reports To: COO or Designated Corporate Leadership
  • Employment Type: Full-Time
  • Pay Range: $17.00 – $20.00 per hour


The Corporate Operations Coordinator is an entry-level administrative professional responsible for supporting daily operations within the corporate office. This role provides administrative assistance to executive leadership while coordinating a variety of operational, purchasing, employee engagement, and organizational support functions.


The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast paced environment. Success in this position requires professionalism, accountability, strong communication skills, and the ability to execute responsibilities accurately and efficiently while working collaboratively across departments.


Essential Duties and Responsibilities


Executive and Administrative Support:

  • Provide administrative support to the Senior Executive Assistant and Executive Operations Assistant.
  • Assist upper management and designated corporate leadership with various administrative tasks and special projects.
  • Prepare documents, maintain records, and follow up on assigned action items.
  • Assist with preparing presentations, reports, spreadsheets, and other executive materials.
  • Maintain confidentiality of sensitive company information.
  • Support day-to-day operations of the corporate administrative office.


Corporate Directory Management:

  • Maintain and update the corporate directory, ensuring the accuracy of location demographics, employee assignments, organizational structures, and leadership and reporting relationships.
  • Process updates related to staffing changes and organizational adjustments.
  • Coordinate with departments to ensure timely and accurate information updates.
  • Validate information prior to entry and maintain documentation of all changes.


Performance Standards:

  • Complete all directory updates within 48 hours of notification.
  • Maintain accurate information to support reporting and operational workflows.
  • Properly document and validate all changes before implementation.
  • Correct identified errors promptly.


Marketing and Sales Administrative Support


Credentialing Support:

  • Coordinate credentialing activities for sales staff with hospitals, vendors, and partner organizations.
  • Track credentialing requirements, expiration dates, and renewal deadlines.
  • Maintain accurate credentialing records and supporting documentation.
  • Communicate with internal and external stakeholders regarding credentialing status and requirements.


Performance Standards:

  • Ensure credentialing activities are completed before established deadlines.
  • Minimize interruptions to sales staff access resulting from administrative oversight.


Assist with Employee Engagement and Corporate Programs:

  • Assist the Executive Operations Assistant with monthly staff observances and employee recognition initiatives.
  • Coordinate recognition efforts for healthcare disciplines and corporate celebrations.
  • Ensure communications and recognition activities are distributed in a timely manner.
  • Collaborate with the Graphics Department to develop and publish observance materials.
  • Support employee engagement activities and special events as assigned.


Corporate Purchasing and Budget Support


Core Functions:

  • Process corporate purchase orders related to education department initiatives, marketing activities, employee engagement programs, and any other approved departmental requests.
  • Verify appropriate approvals prior to processing purchases.
  • Ensure purchases align with established budgets and authorization guidelines.
  • Maintain accurate purchasing records and supporting documentation.
  • Assist with tracking expenditures and responding to documentation requests.


Performance Standards:

  • Enter purchase orders accurately within 24–48 hours of receipt.
  • Ensure all purchases receive proper authorization.
  • Maintain complete documentation for expenditures and purchasing activities.


Additional Responsibilities:

  • Assist with special projects and assignments as directed by leadership.
  • Support process improvement initiatives by identifying opportunities for increased efficiency.
  • Provide cross-functional support to various departments when needed.
  • Perform other duties as assigned to support organizational objectives.


Qualifications

  • High school diploma or equivalent required.
  • Associate degree in Business Administration, Office Administration, Healthcare Administration, or a related field preferred.
  • 1 to 3 years of administrative, office coordination, customer service, project coordination, or related experience preferred.
  • Experience supporting leadership teams, managing multiple priorities, or coordinating projects is preferred but not required.
  • Equivalent combinations of education and experience may be considered.
  • Strong attention to detail and commitment to accuracy
  • Excellent organizational and time management skills
  • Ability to prioritize work and manage multiple deadlines simultaneously
  • Strong interpersonal skills and ability to work effectively across departments.
  • Ability to maintain confidentiality and exercise discretion.
  • Demonstrated initiative and follow-through.
  • Ability to work independently while also functioning as part of a team.
  • Adaptability and willingness to learn new systems and processes.
  • Proficiency in Microsoft Office Suite
  • Experience using project tracking systems and shared databases preferred.
  • Ability to learn internal systems, including MSA PULSE and other organizational platforms
