Position Summary
The Operations Associate is responsible for supporting warehouse operations, inventory movement, facility upkeep, and general maintenance activities within a 503B outsourcing facility. This position assists with receiving incoming shipments, staging and transferring materials, maintaining organized warehouse storage areas, assembling furniture and equipment, and performing basic facility maintenance tasks. The Operations Associate plays an important role in maintaining an organized, safe, and compliant environment that supports pharmaceutical manufacturing and distribution operations.
The ideal candidate is dependable, mechanically inclined, organized, and capable of working independently while maintaining compliance with company procedures, cGMP requirements, and workplace safety standards. The hours for this position are M-F, 9 am – 6 pm, with occasional over-time.
Essential Duties and Responsibilities
Warehouse Operations
- Receive incoming shipments and verify materials against packing slips and purchase orders.
- Inspect incoming deliveries for damage, discrepancies, and shipping irregularities.
- Assist with material staging, storage, and movement throughout the facility.
- Transport materials, supplies, equipment, and finished goods between designated locations.
- Maintain warehouse organization and inventory storage locations.
- Support inventory cycle counts and physical inventory activities.
- Assist with warehouse cleanliness and implementation of 5S workplace organization principles.
- Operate pallet jacks, hand trucks, and other material handling equipment safely.
- Ensure proper segregation and storage of materials in accordance with company procedures.
Inventory Management
- Assist with inventory transfers between warehouse and production areas.
- Support material issuance and replenishment activities.
- Verify inventory identification labels and storage conditions.
- Report inventory discrepancies, damaged materials, and storage concerns to management.
- Maintain accurate records associated with material movement and storage activities.
Facility Maintenance
- Perform basic facility maintenance and repair activities, including:
- Drywall patching and minor wall repairs.
- Interior painting and touch-up work.
- Basic plumbing repairs and fixture replacement.
- Replacement of ceiling tiles and light bulbs.
- Minor carpentry and general building repairs.
- Assembly and installation of office furniture, shelving, and storage systems.
- Assist with preventative maintenance activities as assigned.
- Coordinate service requests with outside contractors when required.
- Support facility improvement projects and workspace reconfigurations.
- Identify and report facility deficiencies or safety concerns.
Additional Responsibilities
- Assist with special projects as assigned.
- Support cross-functional departments with facility and warehouse needs.
- Participate in continuous improvement initiatives.
- Perform other duties as assigned to support business operations.
Qualifications
Education
- High School Diploma or GED required.
- Trade school, vocational training, or maintenance-related certifications preferred.
Experience
- Minimum 1–3 years of warehouse, facilities, maintenance, or related experience preferred.
- Experience in a pharmaceutical, healthcare, manufacturing, or regulated environment preferred.
- Experience using inventory management systems is preferred.
Knowledge, Skills, and Abilities
- Ability to perform basic building maintenance and repair tasks.
- Familiarity with hand tools, power tools, and material handling equipment.
- Basic understanding of plumbing, drywall repair, painting, and carpentry.
- Strong organizational and time management skills.
- Ability to follow written procedures and work instructions.
- Strong attention to detail and documentation practices.
- Ability to work independently and as part of a team.
- Basic computer proficiency, including Microsoft Outlook, Word, and Excel.
- Ability to communicate effectively with all levels of personnel.
Physical Requirements
- Ability to lift and move up to 50 pounds regularly and up to 75 pounds with assistance.
- Ability to stand, walk, bend, kneel, climb ladders, and perform physical tasks throughout the workday.
- Ability to work in warehouse, office, and manufacturing environments.
- Ability to operate material handling equipment safely.
- Ability to wear required personal protective equipment (PPE).
