As we continue to scale, we’re looking for a highly organized, proactive Operations / Administrative Assistant to help keep the business running smoothly behind the scenes.
 This role is ideal for someone who loves structure, checklists, follow-through, and being the “glue” that holds operations together.
Role Overview

 The Operations / Administrative Assistant supports day-to-day administrative and operational needs across the agency. You’ll work closely with leadership to coordinate workflows, manage documentation, support HR and payroll processes, and ensure nothing slips through the cracks.
 This is a high-trust role that requires discretion, attention to detail, and strong communication skills.
Key Responsibilities

Operations & Administrative Support
  • Manage calendar, meetings, and agendas for COO
  • Prepare documents, reports, and trackers
  • Maintain organized digital files and operational documentation
  • Track deadlines, action items, and recurring operational tasks
HR & People Operations Support
  • Assist with onboarding and offboarding processes
  • Support personnel file management and compliance documentation
  • Coordinate updates in commission system and regular audits of system functionality (in partnership with payroll/HR)
  • Help maintain policies, SOPs, and internal process documentation
Workflow & Process Coordination
  • Help manage task boards, dashboards, or trackers (e.g., Monday.com or similar tools)
  • Follow up with managers and team members on assigned action items
  • Support process improvements and consistency across offices
IPS Team Support
  • Schedule and confirm quality appointments for investment team 
  • Maintain notes system for investment client data 
Qualifications
  • Strong organizational skills with exceptional attention to detail
  • High level of professionalism, discretion, and confidentiality
  • Comfortable managing multiple priorities in a fast-paced environment
  • Strong written and verbal communication skills
  • Proficiency with Microsoft Office, Excel, and task management tools
