Job description

Job Summary

The Administrative Assistant ย will provide administrative and secretarial support to those in their assigned area.

Key Responsibilities

  1. Runs the front desk and manages all incoming calls to the office.
  2. Maintains files for his or her area and may oversee other clerical work as needed.
  3. May assist with phones for the department as well as act as a liaison with other departments
  4. May provide support to other jobsites as well as voucher invoices as necessary.
  5. Schedules appointments, meetings and travel.
  6. Will coordinate services such as maintenance, repairs, supplies, etc. for the assigned area.
  7. Will review, compose and answer correspondence as well as distribute mail accordingly.
  8. Ensure common office space is maintained for visitors/guests and ready for use by staff.
  9. Manage regional events calendar for associations/organizations.
  10. Coordinate quarterly team building event.
  11. Assist project teams with input of InEight data. Training will be provided on software platform.ย 

Minimum Job Requirements

1.ย ย  ย Construction experience preferred.
2.ย ย  ย Good communication skills, self-motivated and able to work well under pressure.
3.ย ย  ย Good telephone etiquette.
4.ย ย  ย High school graduate or equivalent education.
5.ย ย  ย Minimum of 2-3 years secretarial experience.
6.ย ย  ย Proficient use of all Microsoft Office Suite programs.
