IP Operations Assistant

Location : Summit, NJ 07901, USA

Job Description

The IP Operations Assistant (Analyst 2 – Database Management) role is intended for an experienced and detail-oriented professional who can support trademark operations in a fast-paced, collaborative environment. This position focuses on trademark data review, verification, and administrative support, working closely with in-house counsel, outside counsel, and internal business teams.

Key Responsibilities

  • Review and interpret trademark correspondence to identify and correct data entry errors.
  • Respond to and resolve inquiries from outside counsel related to trademark records.
  • Manage trademark assignments and chain of title changes, including coordination with outside counsel.
  • Verify Powers of Attorney (POA), assignments, and related documentation; prepare materials for attorney signature, notarization, and legalization.
  • Support the IP Operations Manager with departmental projects, including organizing POAs, running reports, and performing data verification.
  • Assist with overflow work and provide backup coverage during team member absences.

Required Qualifications

  • Minimum 3+ years of trademark experience, with strong exposure to trademark assignments and chain of title changes.
  • Hands-on experience working with trademark IPMS databases; Memotech preferred.
  • Solid understanding of trademark law to perform responsibilities with minimal supervision.
  • Experience handling high-volume, complex data with strong multitasking capabilities.
  • Advanced proficiency in Microsoft Excel (pivot tables, data analysis), Outlook, and Adobe Acrobat.
  • Strong organizational, time management, and problem-solving skills with high attention to detail.
  • Excellent written and verbal communication skills, capable of working with all management levels.
  • Comfortable using information technology systems and document management tools.

Preferred Qualification

New Jersey Notary certification (preferred, not required).
