Job Summary
The Admissions Credentials Representative oversees and manages the processing of approximately 1000 law school applications from receipt through admissions decision and registration. This role also has the responsibility of sending award notifications and managing the decision notification process, along with managing all aspects of updating and maintaining accuracy of applicant data in the Law School Admissions Council's (LSAC) database.
Department-Specific Responsibilities
  • Manage the processing of applicant files from application receipt to completion. Retrieve files from the external application database daily, review file for completion, update the status in UNITE, enter applicant into the Customer Relationship Management (CRM) system, and oversee the receipt of missing items and supplemental documentation to ensure timely file completion.
  • Maintain regular communication with applicants who have incomplete applications to follow up on missing items.
  • Ensure proper handling of sensitive and confidential data.
  • Assist the Assistant Dean of Enrollment Management in conducting the first review of complete applications.
  • Process admissions decisions.
  • Assist in training and managing the admissions committee by assigning completed applications to them on a weekly basis, retrieving the decision, and recirculating files for second review as needed.
  • Update UNITE with the admissions decisions and scholarship awards; ensure timely notification of the decision to the applicant, following an established process and communication plan.
  • Run reports in UNITE to create and send decision emails.
  • Run reports in UNITE to create and run acceptance letters, to be included in the welcome packet, and oversee the timely mailing of print materials.
  • Oversee the functions required for readiness to be registered for class; retrieve and process the seat deposit in the university's finance system; retrieve final transcripts. This includes maintaining communication with admitted students who have missing items/holds prohibiting registration.
  • Act as a liaison to Bursar, Student Affairs, and IU-Indianapolis Graduate Office to provide necessary reports and updated student information.
  • Direct the admissions operations of the office of enrollment management.
  • Ensure accuracy of final class data in LSAC database, evaluate current year processes and revise as needed, make application revisions as needed, assist with staffing of yield management events and new student orientation, and other tasks as assigned by the supervisor.
  • Serve as the custodian of the data exchanged between the admissions office and LSAC, the American Bar Association (ABA), and Indiana University's central administration.
General Responsibilities
  • Direct, manage, and monitor the business process design and workflow for the credentials analyst processing staff. Services include the processing and recording of transcripts and grades, evaluation and determination of residency classifications, maintenance of documentation and the knowledge base, and communications with students and the public.
  • Ensure prompt, accurate, and efficient individual services to students, faculty, and staff and that operational practices are integrated into the processing cycles of other university departments whose services and operations include related and dependent activities.
  • Provide general direction for staff, allocate resources, perform performance evaluations, determine the sequence of events, and generally manage the workflow, services, and timelines for the operations ensuring that workflow is responsive and integrated into the overall departmental goals and timetables.
  • Train new and continuing staff regarding the evaluation and procedures of high school and college transcripts and credit transfer articulation database functions.
  • Represent the department and serve as a content expert on credentials analysis, residency rules, admission application flow and business processes for both current operations as well as modifications and revisions to policy, procedures and/or software. Represent the admissions function in determining the best resolution, gathering information, consulting with stakeholders, and admitting or denying admission to students based on the analysis.
  • Analyze individual situations on a case-by-case basis, administering and interpreting university policy, and exercising professional judgment on the more problematic or unique situations regarding credit articulations and/or residency rules.
  • Provide guidance and direction to staff regarding policies and procedures; ensure proper processing of admissions credentials; serve as a resource on problems or issues; and respond to information requests and inquiries.
  • Contribute to the development of new university policies and procedures relative to articulation and transfer agreements, course equivalencies, and residency interpretations.
