Job Summary

The Service Operations Assistant supports the daily operations of the service department by coordinating administrative activities, assisting customers, maintaining records, and ensuring efficient operational workflows. This role serves as a key liaison between customers, service team members, and management to support service excellence and operational efficiency.

Key Responsibilities Operational Support
  • Assist with the coordination of daily service department activities.
  • Maintain accurate service records, reports, and documentation.
  • Monitor service requests and ensure timely follow-up and resolution.
  • Support scheduling and workflow management for service operations.
  • Assist in implementing operational procedures and process improvements.
Administrative Functions
  • Prepare and maintain reports, spreadsheets, and operational data.
  • Process service-related paperwork, invoices, and work orders.
  • Maintain inventory and order office or service-related supplies.
  • Ensure all records are current, organized, and compliant with company standards.
Customer Service
  • Serve as a point of contact for customer inquiries and service requests.
  • Schedule appointments and communicate service updates to customers.
  • Resolve routine customer concerns or escalate issues as needed.
  • Maintain a professional and customer-focused experience.
Team Collaboration
  • Coordinate with service technicians, supervisors, and management.
