Job Description:
POLITICO is looking for an exceptionally organized Executive Assistant who thrives in a fast-paced environment, balances priorities with grace and has a can-do spirit. Working at the heart of our organization, you embody collaboration and believe no challenge is too small or too complex. In this role, you will drive success through precise, proactive support while maintaining confidentiality and building trusted relationships with the CEO and leadership team.
This role reports to the CEO & Chief of Staff, with primary responsibility for supporting the CEO. The role also involves providing secondary support for the COO and other leaders as priorities dictate. Success in this role requires a highly collaborative partnership with both the CEO and Chief of Staff, including frequent communication, coordination, and alignment around priorities and scheduling decisions.
The ideal candidate is a smart self-starter with a roll-up-your-sleeves attitude and an unwavering belief that we can tackle any challenge. To be successful, you are able to pivot quickly between priorities with genuine enthusiasm, responding to requests with urgency and a solutions-oriented mindset. You must have the ability to exercise good judgement in a variety of situations, possess strong written and verbal communication skills and demonstrate diplomatic finesse. The ideal candidate is equally comfortable operating independently and working in close partnership with senior leadership in a highly dynamic, high-volume environment.
Note that this is an in-person role based 5 days a week out of our Arlington, Virginia headquarters.
What You'll Do:
  • Provide sophisticated calendar management for the CEO. Prioritize inquiries and requests while troubleshooting conflicts, making recommendations to ensure engagements run seamlessly, while partnering closely with the CEO and Chief of Staff to align scheduling decisions with evolving organizational priorities and the CEO's working style.
  • Prepare and anticipate needs for the CEO in advance of meetings, including executive meetings, all-staff meetings, conferences, and other internal engagements, ensuring the CEO is consistently equipped with clear briefing materials, context, and recommendations.
  • Work closely with the CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately, while maintaining proactive communication throughout the day as schedules and priorities shift.
  • Serve as the primary contact for internal and external constituencies on all matters pertaining to the CEO, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, exercising judgement to reflect the CEO's style, preferences, and decision-making approach.
  • Plan and coordinate logistics for board meetings and other high-level meetings, approaching complex arrangements with enthusiasm and attention to detail.
  • Manage national and international travel and transportation bookings, along with expense reports, including complex international itineraries and frequent travel coordination between the U.S. and Europe.
  • Track and manage a high volume of inbound meeting, interview, and stakeholder requests, ensuring timely follow-up, clear communication, and accurate status management.
  • Create and edit presentations and documents
  • Support C-Suite and perform other tasks as needed
What You'll Need:
  • Minimum of 8 years as an executive assistant, administrative assistant or similar work experience supporting C-Suite executives
  • Experience coordinating board meetings or high-level meeting logistics
  • Strong written and verbal communication skills
  • Outstanding organizational skills and consistent attention to detail
  • A demonstrated ability to manage competing priorities and high volumes of requests with sound judgement, discretion, and responsiveness.
  • A natural ability to pivot quickly and enthusiastically, embracing challenges with a positive, solutions-oriented attitude that inspires others
  • Demonstrated diplomatic skills and a collaborative working style with the ability to build trust and maintain strong partnerships across senior leadership teams.
  • Ability to give and receive feedback, consistently working to achieve better results

  • Demonstrated experience managing and organizing confidential information
