Position Summary: The Front of House Coordinator supports all operational and administrative functions of the Wheeler Opera House's Front of House department. This role focuses on event coordination, audience safety, volunteer program management, and upholding the Wheeler Opera House's commitment to providing exceptional customer service and maintaining a safe and welcoming environment for all patrons and staff.
Supervision Exercised and Received: Position works under the direct supervision of the Front of House Supervisor. Position oversees Front of House Representatives and Volunteers when on duty.
Essential Job Functions:
Event Operations & Safety
• Functions as Front of House Manager or Assistant Manager for events and performances, as assigned, ensuring seamless audience flow, adherence to safety protocols, and quality service.
• Conducts thorough pre-event inspections, identifies and mitigates potential risks, and ensures all staff and volunteers understand and comply with safety procedures.
• Coordinates with production, box office, artist services, and other departments to ensure smooth event operations and clear communication.
• Ensures proper set-up, tear down, and maintains cleanliness and readiness of lobby, theater, and event spaces. This may include lifting and moving of lobby furniture and basic venue maintenance (light vacuuming, garbage/recycling removal, surfaces cleaning, etc.).
• Liaises with artists and their teams to facilitate merchandise sales and meet-and-greet events. Collects, deposits and records merchandise and seller fees.
• Responds to and manages emergency situations, demonstrating sound judgement and adherence to safety protocols to ensure well-being of guests and staff. Possesses proficient knowledge and command of Wheeler medical emergency/evacuation protocols and procedures.
• Models and delivers exceptional customer service to all patrons, addressing conflicts or concerns promptly and professionally.
• Collaborates with Front of House Supervisor to ensure the highest standard of audience experience, aligning with the Wheeler Opera House's mission and values.
• Serves as an ambassador for the Wheeler Opera House, maintaining a warm, welcoming, and inclusive environment for all guests.
Volunteer Program Administration
• Serves as the primary administrator for the volunteer program, overseeing recruitment, orientation, scheduling, and day-of-event volunteer supervision.
• Maintains up-to-date volunteer records, schedules, and software, ensuring compliance with organizational policies.
• Develops and executes volunteer appreciation initiatives and recognition efforts to foster a sense of belonging and inclusion.
• Collaborates with the Front of House Supervisor to review and enhance volunteer manuals, guidelines, and expectations. Implements and maintains exceptional onboarding program for volunteers.
• Provides leadership and support to volunteers, modeling best practices and reinforcing the importance of volunteer contributions to the success of the Wheeler Opera House.
• Develops outreach strategies to ensure the continued growth and excellence of the volunteer program
General Administration & Team Support
• Participates in post-event reports and debriefs, and contributes ideas to enhance Front of House operations.
• Assists with interviewing, hiring, scheduling and training intermittent Front of House staff.
• Supports procurement needs for Front of House operations, ensuring supplies and equipment meet operational demands.
• Provides support as needed for capital projects and RFPs to ensure timely and efficient project execution.
• Collaborates on off-site initiatives, community engagement, and special events, providing staffing help, logistical support, and leadership.
• Works with Wheeler Opera House and City of Aspen team as needed to support broader organizational goals.

Minimum Requirements:
Education: High school Diploma or GED equivalent
Experience: A minimum of (2) years of direct experience in customer service, hospitality, House Management, or ushering at a performing arts organization or live event venue.
Technical Knowledge: Proficiency in Microsoft Word, Excel, and Outlook (Email). Must have a basic understanding of computers and online computer-based technology applications, which includes accessing web-based platforms.
Licenses & Certifications: Must possess a valid Colorado driver's license or be able to obtain one within 30 days of start date.
Preferred Candidate: Bachelor's degree preferred. Prior experience in performing arts/events a plus
NOTE: Any combination of experience and education that would likely provide the required abilities, knowledge, and skills as determined by the City of Aspen may be substituted for the requirements above.
NOTE: This position requires a Criminal Background Check upon hire. Employment is contingent upon successful completion of a Criminal Background Check.
Position Type and Work Hours:
• Regular full time, hours and days may vary with workload.
• Evenings/Weekends will frequently be required depending on department needs and special productions.
• Off-Site/Outdoors: Meetings, special events, and trainings.
