Job Summary

The Sales Coordinator is responsible for supporting the property's revenue goals by coordinating sales activities and providing exceptional customer service to prospective and existing guests. With a primary focus on reservations of seven (7) consecutive nights or longer, this role assists with lead management, proposal preparation, account administration, and customer communications to ensure a seamless experience from inquiry through arrival and beyond.

The Sales Coordinator serves as an extension of the Regional Director of Sales and works closely with Operations, Revenue Management, and the LIVE team to support account relationships and maximize revenue opportunities. The ideal candidate is highly organized, detail-oriented, and customer-focused, with strong communication skills and a passion for delivering exceptional service.


Key Responsibilities

Sales Coordination & Customer Support

  • Respond to inbound inquiries and actively manage opportunities across all lengths of stay, with a primary focus on reservations of seven (7) consecutive nights or longer.
  • Prepare proposals, Local Negotiated Rate agreements, and other sales-related correspondence.
  • Support the Regional Director of Sales with account administration, customer follow-up, and reservation coordination.
  • Maintain strong relationships with guests and customers by providing timely and professional communication
  • Coordinate site visits, customer events, and other property sales activities.

Account Administration

  • Create and maintain HubSpot Deals, contacts, and companies, ensuring data accuracy and account continuity.
  • Document customer interactions and sales activities within HubSpot.
  • Assist with maintaining account production records and supporting customer renewals.
  • Support the execution of property promotions, open houses, and local marketing initiatives.

Cross-Functional Collaboration

  • Partner with Operations, Revenue Management, Marketing, and the LIVE team to ensure customer expectations are met.
  • Collaborate with the Regional Director of Sales and General Manager to support property revenue goals and customer satisfaction.
  • Communicate effectively with Front Office and other departments to ensure seamless guest arrivals and long-term stays.

Reporting & Systems

  • Utilize HubSpot, Opera, and Lighthouse to support account management and maintain accurate records.
  • Assist with weekly sales reporting, account production tracking, and pipeline management.
  • Maintain organized electronic files and ensure sales documents are completed and retained according to company standards.


Qualifications:

  • Associate's degree or equivalent work experience preferred.
  • Previous experience in hospitality, customer service, or sales support preferred.
  • Strong written and verbal communication skills.
  • Excellent organizational skills and attention to detail.
  • Proficiency with Microsoft Office and CRM systems.
  • Ability to manage multiple priorities and work effectively in a fast-paced environment.
  • A customer-focused mindset with a commitment to delivering exceptional service.

Please note, this is an onsite role with primary in office hours 8:00am-5:00pm.
