POSITION TITLE: Student & Faculty Support Spec
COMPENSATION RANGE: 45,000.00 - 51,000.00 USD per year
EMPLOYMENT CLASSIFICATION: Professional Administrative

Position Summary:
Each AcademicCollege has worked collaboratively with one another, the SESS Action Teams, andthe AVP of Student Academic Success to implement a student advising/resourcecenter in their respective Colleges. The focus of these centers is to servestudents and to increase retention and graduation rates.
Theintroduction of the Administrative Service Center (ASC) model allows us theopportunity to provide professionally trained, student-centered, staff members,who have a visible and accessible presence to welcome students, parents, supportpeople, and others to assist them with accurate and timely responses to theirquestions and concerns. The reallocation of administrative assistant positionsfrom the departments to the ASC requires that we have three Student and FacultySupport Specialists between Gunter Hall and Ross Hall.
The Student andFaculty Support Specialist's key function is to support students who contactthe office with questions or concerns. These positions work collaborativelywith their college-based professional advisors/coaches, faculty, SOAR advisors,learning assistance programs (e.g. Writing Center, Tutoring Center, Math Lab),Career Services, Bear Central, and other campus partners to promote improvedundergraduate student outcomes. Other key functions include aiding academicunits with course scheduling, curriculum workflow and accreditation/compliancerecord maintenance.
The Student andFaculty Support Specialist will also answer inquiries received by phone and/or electronically,including checking various email accounts as needed.
These positionssupport retention and graduation strategies presented in the StrategicEnrollment and Student Success plan, particularly with Action Team #3's integratedapproach to student services.
Job Duties:
15% - Student Interaction and Support
Serves as the front-facing position to welcome and support students and external guests who enter the office or contact via phone, emails, etc. The Specialist will answer student questions and address concerns such as where a class may be located, and how to contact a faculty member.
The Specialist will appropriately refer students to other resources on campus. They will be knowledgeable about student development and be culturally competent;
Have detailed knowledge and maintain point of contact communication with other campus support services, such as but not limited to, NHS Programs, Tutoring Services, Student Outreach and Academic Resources, Counseling Center, Bear Central, and Cultural and Resource Centers; they will appropriately refer students to these areas;
Coordinate between instructors, student services staff, counselors, and administrators to enhance the academic success of students.
Serve as liaison for students with dean, faculty and college administrative staff; provide accurate information to instructors, students and to the public.
Provide basic and initial assistance to students with questions about classes, registration, permission, etc. using established guidelines, policies and procedures
Addresses individualized student questions or concerns;
Creates a work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures, backgrounds, and identities.
Processes off-campus contract requests using OnBase.
Monitors multiple department emails to connect prospective students and alumni to resources.
25% - FacultyInteraction and Support
Serves as the primary point of contact for faculty administrative needs.
Assists in onboarding process for new faculty, ensuring a welcoming and smooth transition into their roles
Updates faculty directories and maintains accurate records for internal communication
Tracks faculty travel expenditures and assists with travel authorizations and reimbursements.
Oversees course fee budget tracking
Monitors student employee funds and approves timesheets for faculty supervisors.
Guides faculty through the student hiring process for research labs and lab preparation rooms.
Coordinates teaching assistant (TA) exam proctoring assignments.
Supports faculty with a working knowledge of OnBase, Insight Reports, Ellucian Banner, and internal UNC policies and procedures
10% - OfficeManagement and Unit Support
Maintains, organizes, and orders supply inventory for multiple unit offices
Distributes mail and packages
Plans unit events alongside Conference and Events Services with a working knowledge of univeristy policy of procedures
Coordinates make-up exams for 100+ students in multiple units each year
Updates and maintains physical appearance of units, including bulletin boards and display cases
Updates and maintains unit websites
Collaborates with units and university advancement to thank internal and external donors
10% - Accreditation/Compliance Record Maintenance
Maintains accurate and confidential records of every student interaction including in-person visits, phone, and online consultations.
Maintains committee documentation/records to meet AAEO, HLC and accreditation requirements.
Aids faculty in gathering and maintaining information required to meet compliance and accreditation needs.
10% - CurriculumWorkflow Support for NHS Units
Collaborates with unit leaders and the Business Operations Manager to implement curriculum into the Curriculum Workflow system.
10% - CourseScheduling Support for NHS Units
Collaborates with unit leaders and the Business Operations Manager to input course schedules into Banner.
15% - Supervise Student EmployeesHires and trains 5-12 student employees on unit front-desk job responsibilities and office culture. Student employee reports to this person when they have questions or need to coordinate time off and work schedules.
Creates detailed resource guides for student employees
5% - Other Duties as Assigned
Collaborates with the other members of the ASC and refers faculty members to the correct ASC team members and other resources on campus.
Minimum Qualifications:
Earned high-school degree and 1-2 years of student-facing experienceworking in higher education.
Computer skills required, especially in Microsoft Office.
Preferred Qualifications
Ideally, this position will have excellent written and interpersonal communication skills; attention to detail; proficiency in Microsoft Office Suite applications, strong work ethic; high degree of energy; experience workingwith populations of students from various historically underprivileged identities, and a demonstrated ability to work well with students, parents, faculty and staff.
Experience working with EAB's Student Success Collaborative (or similarsoftware) is preferred.
The responsibility of this position requires a multifaceted individual with the ability to work with great accuracy under pressure.
