About the Role:

Bear Energy Services, LLC is seeking a qualified Construction Administrative Assistant to play a critical role in supporting the operational efficiency of construction projects by managing administrative tasks and facilitating communication among project teams. This position ensures that project documentation, schedules, and correspondence are accurately prepared, sorted, verified and imput contributing to the smooth execution of construction activities. The role requires close collaboration with the Construction Manager, field supervisors, accounting and senior management. The Construction Administrative Assistant will track project progress and assist with procurement processes by maintaining organized records and handling logistical details. Ultimately, this role is essential for enabling the Construction Manager to focus on core responsibilities while ensuring that general administrative functions are handled promptly and professionally.

Minimum Qualifications:

  • High school diploma or equivalent required; Associateโ€™s degree or higher in Business Administration, Construction Management, or related field preferred.
  • Minimum of 2 years of administrative experience, preferably within the construction or related industry.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, MS Teams) and familiarity with project management software.
  • Strong organizational skills with the ability to manage multiple tasks and deadlines effectively.
  • Excellent written and verbal communication skills.

Preferred Qualifications:

  • Knowledge of oilfield construction terminology, processes, and regulatory requirements.
  • Basic understanding of budgeting and procurement procedures in construction projects.
  • Ability to read and interpret construction documents and drawings.
  • Experience with installing software, configuring and troubleshooting computers and android tablets.
  • Prior experience working in a fast-paced construction environment.

Responsibilities:

  • Manage and organize project documentation including field tickets, contracts, permits, and change orders to ensure easy accessibility and compliance.
  • Prepare and distribute follow-up action items to relevant stakeholders.
  • Assist with procurement processes by tracking purchase orders, invoices, and delivery schedules to support budget management.
  • Maintain and update project tracking systems and databases to provide accurate status reports and documentation.
  • Support the preparation of reports, presentations, and correspondence related to construction projects.
