Job description

Who We Want:

We are looking for a Document Control Manager willing to play a crucial role in ensuring efficient and organized document management for an automotive company in the midst of rapid growth. Your primary objective will be to ensure that all documents related to automotive engineering, manufacturing, quality control, and regulatory compliance are accurately maintained, organized, and accessible to relevant stakeholders.  In essence, you are responsible for overseeing the entire lifecycle of documents, from creation and storage to retrieval and eventual disposal. The role involves reporting directly to senior management and working closely with department executives, directors, and enterprise management.  The ideal candidate will show the ability to work in a fast-paced agile environment, have excellent organizational skills, and be able to effectively communicate across business levels. 

What You'll Do:

  • Develop and implement document control processes and procedures to ensure efficient document creation, review, approval, distribution, and archiving 
  • Establish and maintain document control systems, including electronic document management systems (EDMS), to manage and track all automotive-related documents 
  • Coordinate with cross-functional teams to ensure documents are created, reviewed, and approved according to established procedures and timelines 
  • Conduct regular audits to ensure all automotive documents comply with industry standards, regulations, and internal quality management systems, such as ISO 9001, IATF 16949 or equivalent automotive quality standards 
  • Manage document retention schedules and ensure compliance with legal and industry-specific requirements 
  • Monitor regulatory changes and updates relevant to automotive documentation and ensure timely updates to internal documents to maintain compliance 
  • Troubleshoot and resolve any issues or discrepancies related to document management systems or processes 
  • Coordinate document reviews and approvals with relevant stakeholders, including engineers, designers, quality assurance personnel, and regulatory compliance experts 
  • Facilitate document change control processes, including version control, change requests, and revision tracking, to ensure accuracy and integrity of documents 
  • Stay up to date with industry trends and advancements in document management technologies and recommend appropriate solutions 
  • Provide training and support to employees on document control processes, procedures, and tools, including EDMS platforms 
  • Identify opportunities for process improvement and efficiency gains within the document control function 
  • Implement corrective and preventive actions to address document control issues and ensure continuous compliance with industry standards and regulations 
  • Coordinate document retrieval and provide support during internal and external audits, inspections, and regulatory assessments related to document control 
  • Ensure all required documents and records are readily available and accessible for audit purposes 

When and Where:
This will be a M-F position located at our Corporate Office in Walker, MI
Occasionally, this may require you to arrive early, stay late, or work on weekends, outside of our regular hours, to ensure we successfully meet customer needs, deadlines, or urgent requests.

What You Need to Have:

  • Preferably a bachelor's degree in engineering, quality management, business administration, or a related field 
  • Preferably experience (typically 5+ years) in document control, quality management, and compliance within the automotive industry 
  • In-depth knowledge of automotive quality, safety, and compliance standards and regulations, such as ISO 9001, IATF 16949, or equivalent 
  • Strong understanding of document management principles, practices, and tools, including EDMS platforms 
  • Knowledge of manufacturing processes and regulations  
  • Strong understanding of document lifecycle management and principals 
  • Self-motivated and solution focused 
  • Excellent written and verbal communication skills 
  • Attention to detail and ability to manage multiple priorities in a fast-paced environment. 
  • Certification in document control or quality management (e.g., Certified Document Controller, Certified Quality Manager) is a plus 
  • Proficient with Microsoft Office Word, Excel, and PowerPoint
