Job description

SUMMARY:
The Global Mobility & Mobilization Coordinator is responsible for coordinating the worldwide deployment of Kinetic's Field Service Technicians, engineers, and operational personnel to domestic and international customer locations. This role manages all aspects of personnel mobilization, including workforce scheduling, travel logistics, immigration documentation, offshore certification compliance, customer onboarding, and deployment readiness.
The position serves as the central coordinationpoint between Operations, Engineering, Human Resources, Project Management,customers, and third-party vendors to ensure personnel and equipment arrivesafely, compliantly, and on schedule.
KEY RESPONSIBILITIES:
Workforce Planning & Resource Coordination
  • Coordinate the deployment of Field Service Technicians, engineers, and operational personnel.
  • Maintain personnel availability and rotation schedules.
  • Assign personnel based on certifications, competencies, project requirements, and customer qualifications.
  • Forecast staffing requirements with Operations and Project Management.
  • Monitor technician utilization and availability.

Mobilization & Travel Coordination
  • Coordinate domestic and international travel arrangements.
  • Arrange flights, hotels, rental vehicles, helicopters, vessels, and other transportation.
  • Develop and distribute mobilization packages.
  • Coordinate last-minute travel changes and emergency mobilizations.
  • Ensure personnel receive project documentation and travel instructions before departure.
  • Coordinate shipment of tools, equipment, and project materials when required.

Global Mobility & Immigration
  • Coordinate international travel documentation, including passports, visas, invitation letters, work permits, and customs documentation.
  • Work with immigration counsel, travel providers, and international customers to facilitate legal entry into foreign countries.
  • Maintain employee travel documentation and expiration records.
  • Assist with international assignment logistics and relocations when required.
  • Monitor country-specific travel and immigration requirements.
  • Ensure compliance with company travel policies and applicable immigration regulations.

Offshore Compliance
Maintain personnel compliance records for:
  • BOSIET
  • HUET

  • Medical certifications

  • Vaccinations and travel health requirements

Monitor certification expiration dates and coordinate renewals before mobilization.
Customer Coordination
  • Receive customer mobilization requests.
  • Coordinate personnel deployment schedules.
  • Submit required customer onboarding documentation.
  • Communicate travel itineraries and deployment status.
  • Serve as the primary point of contact for mobilization logistics.
  • Support customer audits related to personnel qualifications and mobilization.

Project Support
  • Participate in project kickoff meetings.
  • Coordinate mobilization schedules with Project Managers.
  • Ensure personnel and equipment are available before project execution.
  • Track personnel mobilization status throughout project lifecycles.
  • Support demobilization planning upon project completion.

Documentation & Reporting
Maintain records including:
  • Personnel deployment schedules

  • Passport expiration dates

EDUCATION AND EXPERIENCE
  • Bachelor's degree in Business Administration, Logistics, Supply Chain, Operations Management, Human Resources, or a related field.
  • Equivalent combination of education and relevant offshore operations experience may be considered.
  • 5+ years of experience in offshore operations, field service coordination, global mobility, logistics, workforce planning, or personnel deployment.
  • Experience coordinating international and offshore travel.
  • Experience managing visas, passports, and international travel documentation.
  • Experience supporting oil and gas, energy,manufacturing, or industrial field operations
  • Experience coordinating multiple concurrentprojects in a fast-paced environment
