Office Coordinator

Office Coordinator: This role serves as the face of the branch office, helping ensure a professional first impression for clients and visitors while keeping daily office operations running smoothly.

Key responsibilities of Office Coordinator include, but are not limited to:

  • Greet visitors and manage incoming calls, directing them to the right person or department.
  • Sort, distribute, and prepare incoming and outgoing mail.
  • Support day-to-day policy and billing tasks using our agency management systems.
  • Process basic accounts payable and receivable paperwork.
  • Order and maintain office supplies, and coordinate with vendors for equipment and facility needs.
  • Keep common areas, conference rooms, and the kitchen clean, organized, and stocked.
  • Help set up workspaces and equipment for new employees.
  • Assist with company meetings, events, and other special projects as needed.
  • Support Department Managers with Administrative Executive support

Measurement:

  • Quality and timeliness of daily office and administrative tasks.
  • Cleanliness and organization of common areas, conference rooms, and reception spaces.
  • Feedback from staff, clients, and visitors regarding office experience.
  • Leadership team feedback.

Required Qualifications:

  • High school diploma or equivalent required; Bachelor's degree preferred.
  • Strong verbal and written communication skills.
  • Excellent organizational skills with the ability to manage multiple priorities and deadlines.
  • Professional, friendly demeanor with strong customer service orientation.
  • Ability to manage sensitive and confidential information with discretion.
  • Proficiency in Microsoft Office 365 Suite; prior office or insurance experience is a plus.

Compensation: The base salaryrangefor this role is $25-$27 hourly. Actual compensation will be based on factors including location, skills, experience, and internal equity.
