This positionย is responsible forย supporting day-to-day office operations, including facilities coordination, vendorย management, supply and inventory oversight, workspace upkeep, and employee experience initiatives. The Office Coordinator serves as a local point of contact for office-related needs and helps ensure the officeย remainsย a productive, professional, and engaging environment.ย 

This is a part-time, non-exempt position based inย ourย New York Cityย office. The ideal candidate is highly organized, service-oriented, proactive, and comfortable managing multiple priorities independently. ESSENTIAL JOB FUNCTIONSย 

Office Operations &ย Maintenanceย 

  • Manage incoming office deliveries and distribute items to employeesย 
  • Coordinate general officeย maintenance (HVAC, restrooms, etc.) by liaising with buildingย managementย 
  • Oversee upkeep of office equipment and appliances (coffeeย machine, water dispenser, airย purifiers, filter replacements)ย 
  • Supervise theย maintenance and alteration of office areas and equipment, as well asย layout,ย arrangementย and housekeeping of office facilities.ย 
  • Initiate corrective actions as needed to ensure smooth office operations and a safe workingย environmentย 
  • Process incoming and outgoingย mail communications, both internally andย externally,ย maintainingย professional imageย 
  • Proactively look for opportunities to improve operational efficiency byย leveragingย AI andย technology tools to automate routine administrative and coordination tasks.ย 

Supplies & Inventoryย Managementย 

  • Order and restock office supplies (snacks, beverages, paper goods, etc.)ย 
  • Negotiate and execute the purchase of office supplies, furniture, and office equipment toย obtain the best deals possible without sacrificing quality and within approval limitsย 
  • Maintain organization and inventory of supply areas, including the office supply closet andย IT storage shelvesย 

Workspace Upkeepย 

  • Ensure the office is presentable for employees and guests (e.g., clear hallways, tidyย conference rooms)ย 
  • Support cleanliness and organization of the storage spacesย 
  • Ensure conference rooms are prepared in advance of clientย meetingsย 

Office Coordinationย 

  • Update andย maintainย the desk assignments and capacity grids, as applicableย 
  • Assistย with officeย moves and space reconfigurationsย 
  • Create andย maintainย a directory of key office contacts and vendors (names, roles, phoneย numbers)ย 
  • Manage office build-out,ย maintainingย good vendor/contractor relationshipsย andย timelyย follow-upย

  • Coordinate "Together Tuesday" lunch orders via DoorDash business accountย 
  • Provide catering orย procureย refreshments as requested for special occasions and officeย eventsย

  • 1-2 years of experience in office administration, office coordination, workplace experience,ย hospitality, facilities coordination, administrative support, or related rolesย

Work Scheduleย

  • Theย anticipatedย schedule isย Monday and Wednesday fromย 9:00 a.m. to 1:00 p.m. and Tuesday and Thursday fromย 8:30 a.m. to 5:00 p.m. Occasional flexibilityย may beย requiredย to support company events, teamย meetings, or other business needs.ย 

Compensation Range:ย $25.00 - $35.00 hour. This is the pay range OBE believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will beย determinedย based on the level of experience, relevant skills, professional certifications,ย market pay, and demand for the role. OBE reserves the right toย modifyย this pay range at any time.ย
