Job description

Miller Truck & Storage Co., who has been serving the Machinery Moving and Mill Wright markets for over 61 years, is seeking an Office Administrator to work in Jackson, MI!

Office Administrator Responsibilities:

  • Enter prospects, customers and their Request For Quotation (RFQ) into quoting system, electronically file documents & pictures, procure cost or other values, and contractor’s availabilities for the rigging estimator\Mgr.
  • Perform JobEntry (a.k.a. Work Order) functions, includes creation of such, using Customer’s PO received, scheduling those jobs and their service delivery dates, and acknowledging customer of the same. Also, perform job related MRP functions including issuance of purchase orders for contracted services and materials.
  • Perform customer invoicing upon completion of the jobs. This also includes collections of past dues accounts. Working with the Rigging Manager to negotiate sales allowances and adjustments where necessary and issuance of credits.
  • Perform daily time entry (posting), equipment usage to applicable jobs and daily receiving of purchased contracted services and goods against the applicable purchase orders. Includes reconciling labor posted to jobs with daily and\or weekly Time and Attendance records.
  • Provide customer service by addressing customer’s questions or concerns and direct them to the appropriate persons who can assist, if you not able to assist.
  • Preform other administrative functions such as; a.) Fleet Compliance, i.e., scheduling and verifying DOT physicals for drivers, certifying DOT drivers, including their issuance of driver’s MedCards, set up Secretary of State appointments as requested, b.) Administrate and perform reporting of; quarterly International Fuel Tax Agreement (IFTA) taxes, yearly reporting and filing of our International Registration Plan (IRP), IRS Form 2290, "Heavy Highway Vehicle Use Tax Return," for federal excises tax to be paid, annual Form MCS-150, the Motor Carrier Identification Report, annual renewal of the Standard Carrier Alpha Code (SCAC), c.) preform monthly credit card statement reconciliation with corporate accounting dept., d.) answering the phone and other such menial office task.
  • Coordinate and administrate with Managed Security Service Providers (MSSPs) for premise security for all facilities and buildings.
  • Coordinator and administrate to the companies’ marketing efforts which includes their website maintenance, and other misc. marketing and advertising tasks which may come about.
  • Maintain and coordinate major customer’s subscription-based database and compliance platforms, such as; “ISNet,” “Avetta,” etc.
  • Other related tasks as assigned by the supervisor.

Office Administrator must meet the following requirements:

  • Three (3) or more years of experience in job costing systems, customer services, clerking in industrial service office environment OR education equivalence of an Associate’s Degree in Business Admin. or higher.
  • Possess good communication skills to deal directly with customers and peers.
  • WrightPlan (rigging) software experience is a big PLUS!
  • Microsoft Outlook skills and general computer skills.
  • Multi-tasking skills
  • Working knowledge of trucking industry, and their major registration and compliance processes, is a PLUS!
  • Some over-time will be required at certain times of the year.
  • Valid driver license with no major violation or infractions in the past 5 years.
  • Must be able to pass a drug test.
  • Must be legally able to work in the USA.
