Position Summary: The Office Services Associate is responsible for delivering exceptional print production, document management, and office support services. Serving as the primary resource for print operations, this role manages print requests, operates production equipment, ensures quality standards, and provides outstanding customer service. The associate also supports broader office services functions, including mail, shipping, records management, and general administrative support as needed.

Responsibilities:

  • Print Operations (Primary Function)
    • Manage the intake, production, and delivery of print, copy, scan, and finishing requests.
    • Operate digital printers, multifunction devices, copiers, scanners, binders, laminators, cutters, and other production equipment.
    • Review electronic files and ensure proper formatting, layout, and print specifications.
    • Perform finishing services including binding, folding, cutting, laminating, collating, and packaging.
    • Monitor print queues and prioritize projects based on business needs and established service-level agreements.
    • Conduct quality assurance checks to ensure accuracy, completeness, and professional presentation of all deliverables.
    • Troubleshoot minor equipment issues and coordinate vendor service calls when necessary.
    • Maintain inventory of paper, toner, and production supplies.

    Office Services Support:
    • Process incoming and outgoing mail, courier services, and shipping requests.
    • Assist with conference room setup and support for meetings and events.
    • Support document management, records retention, and file organization initiatives.
    • Provide front-line customer service for employees and business partners regarding office services requests.
    • Maintain organized workspaces and ensure adherence to safety and operational procedures.
    • Support special projects and additional administrative responsibilities as assigned.

Qualifications:

  • Required Qualifications
    • High school diploma or equivalent.
    • 1-3 years of experience in print services, reprographics, office services, or a related customer service environment.
    • Experience operating digital print and finishing equipment.
    • Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
    • Strong customer service, organizational, and communication skills.
    • Ability to manage multiple projects and deadlines in a fast-paced environment.
    • Strong attention to detail and commitment to quality.

    Preferred Qualifications
    • Experience in a corporate office service, legal, financial, or professional services environment.
    • Familiarity with print management software and production workflow systems.
    • Working knowledge of Adobe Acrobat and basic document formatting principles.
    • Shipping and mailroom experience, including FedEx, UPS, and courier services.

    Physical Requirements
    • Ability to lift and move materials weighing up to 40 pounds.
    • Frequent standing, walking, bending, and operating office production equipment.
